Job Description
The Project Coordinator is responsible for supporting tenant-related administrative operations to ensure smooth day-to-day functionality. This role focuses on rent collection, tenant service request triage, lease and compliance reporting, and assistance with coordinating special events. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities efficiently and professionally.
Key Responsibilities:
Tenant Relations & Coordination:
- Serve as the primary point of contact for tenants regarding administrative matters.
- Coordinate and manage rent collection processes, ensuring accurate records and timely payments.
- Triage tenant service requests, prioritize issues based on urgency, and dispatch appropriate personnel or vendors.
- Maintain service request logs and assist in tracking resolution timelines.
Reporting & Documentation:
- Assist in generating monthly reporting for lease compliance, rent payments, and tenant service metrics.
- Prepare and maintain accurate documentation, memos, and internal communications related to tenant activities and lease terms.
- Support in compiling reports for internal stakeholders and property management teams.
Vendor and Lease Administration:
- Assist with onboarding new vendors related to tenant services and building operations.
- Help monitor and document vendor performance and ensure adherence to service-level agreements.
Event Coordination:
- Assist with the coordination and logistics of special tenant events, including setup, communication, and scheduling.
- Liaise with vendors, internal teams, and tenants to ensure successful event execution.
General Administrative Support:
- Provide day-to-day administrative support to the property or asset management team.
- Support internal operations such as billing coordination, invoice tracking, and compliance documentation.
- Perform other administrative duties as needed.
Qualifications:
- Minimum of one (1) year of customer service or tenant services experience.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines under pressure.
- Excellent organizational skills and attention to detail.
- Professional demeanor with a strong sense of accountability and initiative.
