PopSockets is looking for a highly organized and motivated Project Coordinator to join the Operations team. In this role, you will be responsible for supporting the operations project management team in executing, and tracking CMF and new product development projects to ensure they are completed on time, within scope, and on budget.
Project Planning: Assist the Project Manager in defining project scopes, timelines, and resource requirements.
Coordination: Act as a central point of contact for Operations team members, cross-functional stakeholders in Marketing, Documentation Control and Engineering, and manufacturing vendors to ensure clear communication.
Documentation: Maintain project documentation, including meeting minutes, weekly status reports, and risk trackers, and support BOM creation and review.
Task Tracking: Initiate tasks as guided by the Project Managers. Monitor progress on product sample and asset deliverables and proactively identify potential bottlenecks or risks.
Resource & Administrative Support:
Manage project-related administrative tasks, including scheduling meetings and managing project folders, and support general Operations team functions.
Assist with project resource coordination and scheduling; support preparation of required internal resources, tools, samples, materials, or external support.
Handle project‑ related administrative tasks such as data maintenance, expense tracking, and basic procurement support as needed.
Purchasing & Administrative Support Handle purchasing-related administrative tasks such as issuing Purchase orders of tooling and fixture, samples, PROMO projects, Graphics and others are assigned.
Support Data Management such as new SKUs reconciliation, help identify data gaps, inconsistencies, or errors and escalate issues to the sourcing or operations lead.
Support validating supplier Proforma Invoices before approval and payment, ensuring unit price & total amount are correct, coordinate with sourcing for price discrepancies.
Risk Identification & Issue Escalation:
Proactively identify project risks, issues, and dependencies during execution and escalate promptly to Project Managers or relevant owners.
Support issue resolution by preparing background context, impact assessments, and solution options to enable efficient management decision‑ making.
Continuous Improvement: Participate in project post‑ mortems and reviews, summarize lessons learned, and propose process or collaboration improvements to enhance overall project execution efficiency.
Additional Responsibilities: Perform other project‑ related or operational duties as assigned, in support of business priorities and team objectives.
Experience: Experience: 3 years of experience in project coordination or administrative support
Language Skills:Bilingual proficiency required. The candidate must have proficient English with professional working written and verbal communication skills in both languages.
Software Proficiency: Preferred proficiency in Feishu, Microsoft Office Suite (Excel, Teams, Outlook) and project management tools (e.g., Smartsheet, Monday, Trello, or MS Project).
Organization: Strong multitasking skills and the ability to prioritize tasks in a fast-paced environment.
Communication: Professional demeanor with the ability to bridge communication gaps between team members.
