Job Description

We are seeking an experienced Project Coordinator to join our team. The Project Coordinator will be responsible for coordinating project activities, ensuring that projects are completed on time, within budget, and to the satisfaction of stakeholders. This role requires a strong understanding of project management methodologies, excellent communication skills, and a willingness to collaborate with others.

Duties and Responsibilities

  • Coordinate all processes and phases of the project management lifecycle
  • Execute implementation project plan and timelines with a heightened focus on timeliness, accuracy, and seamless communication
  • Enable appropriate cross-functional team communications. Assist in planning activities to identify, mitigate, and manage risks and dependencies
  • Monitor day-to-day project health and ensure work is progressing as planned and within the budget
  • Coordinate and manage project activities, timelines, and budgets to ensure projects are completed on time and within budget
  • Liaise with stakeholders, project teams, and management to ensure effective communication and coordination of project activities
  • Develop project plans, including work breakdown structures, schedules, and resource allocation
  • Monitor project progress, identify and mitigate risks, and report on project status to project stakeholders
  • Identify opportunities for process improvement and implement best practices to increase efficiency and effectiveness of project delivery
  • Provide administrative support to the IT Project Manager/Sr IT Project Manager, including scheduling meetings, taking meeting minutes, and maintaining project documentation
  • Ensure compliance with project management standards and guidelines
  • Conduct post-project evaluations to identify areas for improvement and implement changes to improve project delivery

Experience

  1. Project Planning and Scheduling
    1. Assist in developing project plans, timelines, and milestones.
    2. Create and maintain schedules, ensuring tasks are completed on time.
  2. Coordination and Communication
    1. Act as a liaison between client project managers, Program manager, team members, stakeholders
    2. Facilitate meetings, prepare agendas, and distribute minutes or action items.
    3. Organize all recordings and documents in both MLF and Argano SharePoint
  3. Task and Resource Management
    1. Track progress of tasks and deliverables, ensuring alignment with project goals.
    2. Coordinate resource allocation (PTO)
  4. Documentation and Reporting
    1. Maintain accurate project documentation, including plans, budgets, and status reports.
    2. Prepare and distribute regular updates or reports to stakeholders on project progress.
  5. Risk and Issue Management
    1. Identify potential risks or issues and escalate them to the project manager.
    2. Assist in implementing solutions or mitigation strategies.
  6. Budget and Cost Tracking
    1. Monitor project expenses and ensure adherence to budgets.
    2. Support financial reporting and invoice processing. (BvA)
    3. Able to track when the project is running higher than the weekly trends
  7. Administrative Support
    1. Handle logistical tasks, such as scheduling, travel arrangements, or procurement.
    2. Manage project management tools (MS Project & Azure DevOps ) to keep workflows organized.

KPIs (Key Performance Indicators)

  • Utilization – 90%
  • Revenue Managed – Up to $800K

Additional Qualifications

  • Advanced English communication skills
  • Bachelor's degree
  • 3-5 years of experience in IT project management or coordination.
  • Strong understanding of project management methodologies, tools, and techniques
  • Excellent organizational, communication, and interpersonal skills
  • Ability to work well under pressure, prioritize tasks, and meet deadlines
  • Strong attention to detail and problem-solving skills
  • Proficient in project management software and tools such as Microsoft Project, Jira, and Agile methodologies
  • Experience in process improvement and change management
