What You’ll Do:
The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.
Collect information/data from customers and clients and entering data into a central database.
Catalogue the data with appropriate tags for ease of reference.
Perform quality assurance and high-speed data entry to ensure documents are completely and efficiently captured and images and indexing are accurate.
Audit inbound invoices/proposals against executed agreements and internal monitoring tools to verify that all charges are valid.
Maintain an up-to-date portfolio of elevator certificates, inspections, invoices, payments, and other correspondence.
Conduct independent research and reviews through client files, state databases, reports, and invoices.
Provide direction of next steps to clients, vendors, and the authority having jurisdiction (AHJ) for several different properties/elevator units.
Coordinate resolutions to closure between internal Project Managers/Consultants and external contractors/vendors.
Track resolutions and perform detailed data entries into our internal database and external client systems.
Ensure a functioning, well-run electronic, paperless office.
Adhere to all company policies, procedures, and business ethics codes.
Perform routine office filing.
What You’ll Bring:
A High School Diploma
2 or more years of applicable experience
Intermediate or better skills using software: Microsoft Office (Excel, Word, SharePoint, PowerPoint, etc.), MS Outlook, and web-based applications and databases.
The ability to coordinate or lead employees and subcontractors among different levels of the organization to accomplish all necessary tasks.
The ability to assume responsibility for work outcomes and results of other workers.
The ability to work independently in a fast-paced environment.
Strong knowledge of English grammar, spelling, and punctuation.
Exceptional organizational skills and strong attention to detail.
The ability to work on many different projects at one time and manage changing priorities.
A self-starter attitude and the ability to build relationships.
Professional writing skills to complete proposals, reports, send e-mails and other correspondences.
The ability to coordinate own and others’ actions.
Previous experience with elevator industry terminology (preferred).

Working Environment:
This role involves both physical and mental demands and may be performed in various settings, including offices, construction sites, and confined spaces like elevator pits. Tasks often require frequent movement in multiple directions. Lerch Bates will provide reasonable accommodations upon request through Human Resources.
Physical Demands:
This role requires regular sitting, talking, and hearing in meetings and by phone. Employees must navigate tight spaces, climb ladders, move around construction sites, take measurements, and travel by car, air, or rail. Duties may involve working at heights and in confined spaces, using hands for tasks like typing and operating elevator components, and applying up to 30 lbs. of force. Close visual attention is also required.
Mental Demands:
This position requires strong written and verbal communication, problem-solving, and analytical skills. Employees must interpret complex information, apply mathematical and logical reasoning, quickly learn new skills, and manage detailed, multitask workloads under shifting deadlines. Regular interaction with executives, colleagues, clients, and external stakeholders is also expected.
Employment is contingent upon the successful completion of a pre-employment background check and drug test. The drug test includes screening for marijuana, regardless of state or local laws permitting its use. A conditional offer of employment will be rescinded if a candidate fails either the background check or the drug test.
