We are seeking a Project Control Advisor responsible for managing and optimizing digital document management and archiving within a project environment. The role focuses on ensuring structured, compliant, and efficient handling of project documentation, while supporting and coaching project staff in proper information management practices.
Key Responsibilities
Manage and maintain the digital project archive within the document management system (DMS)
Register, classify, organize, and enrich documents with appropriate metadata
Maintain and update the authorization matrix and manage user access rights
Ensure proper routing and processing of incoming, internal, and outgoing documentation
Develop and maintain document structures, classification plans, and filing systems
Create default views and search functionalities for efficient document retrieval
Provide training and guidance to project staff on document management processes
Draft and maintain work instructions, manuals, and documentation standards
Monitor compliance with information management frameworks and quality standards
Identify improvement opportunities and report system issues to functional management
Support continuous improvement of information and document management practices
Expected Deliverables
Fully structured and compliant project archive aligned with defined quality standards
Up-to-date document management tools, including:
Authorization matrix
Work instructions and manuals
Organized document structure
Requirements (Mandatory)
Higher professional education (HBO) level or equivalent
Proven experience working with Document Management Systems (DMS)
Strong knowledge of digital archiving and information management
Experience with document/information management tools and related ICT systems
Experience in writing guidelines, procedures, or work instructions
Proficiency in Dutch (spoken and written)
Preferred Qualifications
Experience in large-scale infrastructure or civil engineering projects
Knowledge of relevant regulations and frameworks (e.g., data protection, information governance)
Experience with record management in Microsoft 365 SharePoint
