Job Description Summary

Service Stream is seeking an organised and proactive Project Compliance & Training Administrator to join our Utilities & Infrastructure team supporting the SA Water ASD Field Operations Project.

This is a pivotal role responsible for coordinating project compliance activities, training administration, and management system support. We are looking for someone who thrives on structure, has a strong eye for detail, and enjoys ensuring processes are followed and documented accurately.

Importantly, we're looking for someone who can be rigorous when it comes to compliance and governance, while also being adaptable enough to think outside the box and find practical solutions that keep projects moving forward.

Location: Happy Valley or Hope Valley, SA.

Work type: Full-time permanent supporting hybrid working arrangements.

About the role

Reporting to the HSE Manager, you will play a key role in supporting project management systems, maintaining training and compliance records, and ensuring project requirements are tracked and managed effectively.

You will work closely with operational leaders, employees, subcontractors and external stakeholders to ensure training, licences, competencies and project compliance obligations remain current and accurately recorded.

  • Provide administration support for project management systems and compliance processes
  • Coordinate and schedule training for employees and subcontractors
  • Maintain training matrices, training plans, training needs analyses and records
  • Produce reports on completed, upcoming and expired training requirements
  • Verify and maintain employee licences, qualifications and competencies
  • Support onboarding activities for employees and subcontractors
  • Manage contractor compliance through Rapid Global
  • Maintain project documentation and SharePoint sites
  • Take meeting minutes and distribute actions
  • Monitor EPA licence conditions and compliance requirements
  • Track equipment compliance, calibrations, registrations and licences
  • Coordinate SA Water access passes and site access requirements
  • Maintain records of equipment allocated to subcontractors
  • Support document control and project compliance reporting
  • Collaborate with Alliance partners to align training and compliance processes
  • Assist project teams with compliance-related initiatives and continuous improvement activities

About you

  • Previous experience in training administration, compliance administration or management systems
  • Experience maintaining training matrices, plans and records
  • Strong administrative and document control skills
  • Advanced Microsoft Office skills, particularly Excel, Word and Outlook
  • Excellent written and verbal communication skills
  • Strong attention to detail and record-keeping capabilities
  • The ability to learn new systems quickly and adapt to changing business requirements
  • A collaborative approach and willingness to support a variety of stakeholders
  • Certificate IV in Business Administration or a similar qualification preferred
