In this role, you will be responsible for sourcing, purchase order execution, expediting, and supplier coordination to ensure timely and cost-effective equipment and material availability for project delivery across Southeast Asia. We are looking for an organised and proactive Project Buyer / Expeditor to manage procurement and supplier delivery performance across a programme of manufacturing projects delivering M&E fluid systems for data centre construction. This role will be based in Shanghai.

Key Accountabilities

[Procurement Execution]

  • Source and procure equipment, valves, pumps, instrumentation, and electrical components in alignment with technical specifications, budgets, and lead time constraints.

[Supplier Management & Expediting]

  • Liaise with vendors to confirm order acknowledgments, track progress, and expedite materials to meet project schedules.
  • Maintain procurement plans and trackers to provide visibility of progress to schedule.
  • Proactively manage delays, non-conformances, and supply risks.

[Order Management]

  • Raise, release, and track purchase orders in ERP/MRP systems.
  • Maintain accurate purchase order status, delivery dates, and logistics coordination.

[Project Coordination]

  • Work closely with project management, manufacturing, logistics, and wider project teams to align material readiness with factory build plans and site shipment schedules.

[Cost & Quality Monitoring]

  • Support cost control by comparing supplier pricing, identifying savings opportunities, and ensuring procurement aligns with commercial objectives.
  • Work with Engineering and Quality to ensure compliance with quality standards and technical specifications.

[Documentation & Logistics]

  • Coordinate shipment documentation, customs requirements, and handover packs for factory or site deliveries.
  • Work with freight partners and logistics teams for timely transport.

[Vendor Prequalification & Performance Tracking]

  • Assist in evaluating and prequalifying suppliers.
  • Monitor supplier performance in terms of delivery, quality, responsiveness, and reliability.

What We’re Looking For

To thrive in this role, you should bring:

Education and Experience

  • Degree in Supply Chain Management, Engineering, Business, or related field.
  • Minimum 3 years’ experience in project procurement / expediting, ideally within the M&E, construction, HVAC, or industrial manufacturing sectors.
  • Strong knowledge of equipment/materials used in fluid systems (e.g. pumps, valves, instruments, vessels, electrical panels).

Technical Skills

  • Experience using ERP/MRP systems (SAP, Oracle, or equivalent).
  • Fluent in English (business level).
  • Familiarity with Incoterms, international shipping, and Southeast Asian supplier markets is a plus.

Soft Skills

  • Strong negotiation and communication skills.
  • Results-driven with excellent time management and follow-up.
  • High attention to detail and accuracy.
  • Ability to thrive in a fast-paced, multi-project, cross-functional environment.
  • Team-oriented and culturally aware, with experience in international supply markets.
