Job Brief:

This is the entry level administrative support role, responsible for ensuring smooth project operations and compliance under the MOMENTUM Integrated Health Resilience (MIHR) project, a global Department of State funded initiative that seeks to improve access to and use of quality MNCH and nutrition services in fragile settings worldwide. The MIHR/Philippines project will be focused on strengthening the cold chain and immunization systems in priority areas of the country.

The position supports end-to-end procurement-vendor identification, bid evaluation, contracting-while ensuring fairness, integrity, and value for money. It also assists in administration, including office management, logistics, travel, and records, enabling effective implementation across the Philippines.

Working under the Country Finance and Administration Officer, s/he coordinates with local partners and stakeholders in a manner that aligns with Corus International's vision, values, and strategy. S/he plays a key role, working with other local staff and Corus International Departments to ensure quality delivery of service.

Responsibilities:

Administrative and Office Support

  • Provide daily administrative and logistical support to the procurement and project teams, including scheduling meetings, organizing files, and maintaining office calendars.
  • Assist in drafting and formatting routine correspondence, meeting notes, and other administrative documents.
  • Help monitor office supplies, prepare requisitions, and maintain inventory records.
  • Support logistics for meetings, workshops, and trainings, including venue booking, travel arrangements, and preparation of materials.

Procurement Support

  • Assist in preparing procurement documents such as purchase requests, purchase orders, and bid comparison forms.
  • Support the coordination of vendor quotations, ensuring completeness of required documents and proper filing.
  • Ensure all procurement activities comply with organizational policies and procedures.
  • Assist in the preparation and safekeeping of contracts and other supporting documents as directed.
  • Track deliveries and ensure that goods and services are received according to specifications and timelines.
  • Support the preparation of simple procurement reports and documentation for review by the supervisor.

Vendor and Supplier Management

  • Assist in updating supplier and service provider databases and maintaining records of vendor performance.
  • Coordinate with vendors, consultants, and partners as needed to follow up on administrative or logistical requirements.

Financial and Record Management

  • Maintain accurate and up-to-date procurement and administrative records (digital and hard copy) following organizational filing standards.
  • Provide clerical support for processing payments, filing receipts, and tracking financial documentation.

Other Duties

  • Support the procurement and administration teams in any other related tasks as assigned.

  • This is not a supervisory position

Education & Experience:

  • Diploma in Business Studies, Business Administration or Commerce or relevant with at least one (1) year experience in procurement and/or administration
  • Prior internship or experience working with local and international development actors (government, donors, l/NGO, academe, broad civil society).

Knowledge, Skills and Abilities:

  • Knowledge of administrative operations and office procedures.
  • Strong organizational and multitasking abilities.
  • High attention to detail and ability to maintain confidentiality.
  • Customer-service orientation.
  • Ability to communicate effectively, both verbally and in writing.
  • Proficiency in Office 365 applications including Word, Excel, and PowerPoint.
  • Ability to work effectively both independently and as part of a team.

Physical and Mental Requirements:

  • The physical requirements that may be needed to execute responsibilities may include bending, standing, and walking, etc.
  • The mental requirements that are essential to satisfactorily executing the responsibilities outlined in this job description include, but are not limited to: learning new tasks, comprehending, and retaining information, completing tasks independently, effectively communicating verbally and in writing, demonstrating proficiency in using computer software to perform assigned tasks.

Working Conditions, Travel and Environment

  • IMA Philippines has an in-person work policy, with all employees reporting to the office Monday through Friday. Remote working may be allowed subject to the approval of the supervisor. The employee must be available to work outside normal office hours or on the weekends as required.
  • This position must be able to travel as required for standard domestic and international business purposes. While performing the duties of this job in different locations, the employee may be exposed to precarious settings under high-security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases.
