Job Description

As a key member of the Marine team reporting to the Marine Operations Leader, you will be responsible for co-ordinating the PDA support to the projects within the Marine team and well as delivering project support to the Marine project management community. This will involve supporting project managers in running multimillion-dollar projects, both for UK and international customers with opportunities to interact with various teams both within our organisation within the UK and with suppliers and customers operating globally.

Most important responsibilities/tasks

  • Co-ordinating the support that is provided by the existing PDA team, including liaising with the Marine Equipment lead on issue such as support priorities, issues with support and team structure.
  • Providing project support to project managers for:
    • Document Control
      • Submission and recording of documents issued to customers/suppliers
      • Customer monthly reporting (with input from others)
      • Document filing administration using company databases and Excel files
      • Interaction with various customer virtual portals
    • Creation and maintenance/manipulation of various Excel and Word documents relating to both projects and the overall Marine business
    • Preparation of purchase requisitions and supplier monitoring
    • Tracking of materials relating projects
    • Raising of customer invoices on behalf of project managers
    • Assisting with equipment shipping requirements including import and export processes and procedures
  • Supporting the project managers with compiling contract variations
  • Managing and co-ordinating Supplier interfaces on behalf of the project managers
  • Supporting project managers in the use of other internal systems (e.g. field service booking system)
    • Liaison with other departments to:
      • Update programmes – use of MS Project
      • Tracking progress of the production of documents eg specifications/ drawings/maintenance information

Essential requirements

  • Proficient in the use of Microsoft Office software, especially Word & Excel
  • Excellent communication skills
  • The ability to interface with people at all levels both within GE Power Conversion and with external stakeholders
  • Proactive nature with the ability to make things happen
  • Committed to taking ownership for designated tasks
  • Strong organisational skills
  • Ability to multi-task and prioritise well

Desired characteristics

  • Educated to A level or equivalent
  • Experience of SAP
  • Experience of working in a busy office environment
  • Understanding of basic contractual terms and conditions
  • Experience of Microsoft Project
