Job Introduction
Frequentis Group with headquarters in Vienna is an international supplier of communication and information systems for control centres with safety-critical tasks. We are looking for an experienced project assistant to join our Strategic Operations (STRATO) team, providing flexible and well‑structured administrative support in international customer projects as well as assistance in organising internal training initiatives.
As a Project Assistant (all genders), you will work as part of project teams to help achieve the objectives of international customer projects in safety‑critical environments. You will coordinate administrative processes, keep track of deadlines, and take responsibility for designated work packages.
As part of our STRATO team, you will also contribute to the organisation of internal, international training programmes. Together with your colleagues, you will manage organisational workflows, coordinate events and business trips, support participants, and bring your own fresh ideas to the programmes.
Key Tasks

  • You support project teams in all administrative matters and also handle work packages independently and with a high level of quality.
  • You assist with internal, international training programmes, taking care of organisation, travel planning, and participant support.
  • You maintain and update open items lists and coordinate their resolution with the project team.
  • You keep track of the current project status and prepare documents, reports, and presentations.
  • You communicate proactively with internal interfaces to drive the completion of various work packages.


Key Qualifications

  • You have experience in an assistant role or in project work, and you have completed secondary education (Matura level).
  • You enjoy organizing meetings and events and like supporting colleagues (trainees, project teams). You also stay on top of open tasks and follow up reliably.
  • You are confident using common Office tools and ideally have some experience with social media channels (e.g., Viva Engage, podcasts, LinkedIn).
  • You work proactively and independently and enjoy being a central point of contact for others.
  • You present yourself professionally, see the bigger picture, and speak German and English fluently.

Salary
The remuneration for this position consists of: The collective agreement minimum salary of EUR 38,184 gross per year (based on a 38.5 hour week) PLUS an overpayment in line with the market depending on your professional qualifications and experience.
