Job Description

Role Description: Project Administrator

Reports to: Project Coordinator

Workplace Location: Brendale, QLD

Role Purpose: The Project Administrator will assist the Project Coordinator with the day-to-day administration and smooth delivery of field operations. The role provides practical support across logistics, communication, documentation, and reporting, helping ensure project information is accurate, organised, and available when needed across transport, site, and warehouse interfaces.

Success in this role you will see:

  • Project Coordination Support: Assist the Project Coordinator with project schedules, daily priorities, follow-up actions, and general administrative tasks.
  • Logistics Administration: Support the coordination of personnel, materials, and equipment movements by maintaining schedules, bookings, and relevant records.
  • Stakeholder Communication: Assist with communication between transportation companies, onsite technicians, warehouse managers, and other stakeholders, escalating issues to the Project Coordinator when required.
  • Document Support: Ensure all documents and systems are updated in a timely manner across both WV Technologies systems and client portals.
  • Mailbox Administration: Monitor the project mailbox, respond to routine requests, maintain accurate records, and escalate matters requiring further action to the Project Coordinator.
  • Data and Reporting: Maintain project spreadsheets, databases, and trackers, and assist the Project Coordinator by collating information for regular project reporting and resource planning.

General Duties:

  • Contribute to overall company vision and strategy
  • Contribute to new business initiatives and projects
  • Comply with all HSEQ company process and policy
  • Wok with range of individuals from skilled workers to disadvantaged individuals

Who you are:

  • Strong organisational and time management skills, with the ability to manage multiple priorities effectively.
  • Clear and professional communication skills, with the confidence to liaise with internal and external stakeholders.
  • High attention to detail, particularly when maintaining documentation, schedules, records and project information.
  • High proficiency in Microsoft Excel, including confidently working with formulas, data sorting and filtering, spreadsheets, trackers and large data sets.
  • Proficiency in Microsoft Outlook and other Microsoft Office applications.
  • Tech-savvy, with the ability to quickly learn and navigate different operating systems, databases and client portals.
  • Comfortable working independently while knowing when to escalate issues or seek guidance.
  • Able to work effectively in a fast-paced environment and adapt quickly to changing priorities.
  • Previous experience in project administration, logistics, operations or a similar environment is desirable but not essential.
  • Entry-level applicants with strong administrative and Excel capability are encouraged to apply.
