About the role

Based in our Abbotsford project site office, this role will provide all administration and documentation support to the project as required to ensure the smooth day-to-day running of the project and site.

Key responsibilities

  • Coordinate the onboarding and mobilisation of employees, subcontractors, and plant equipment, ensuring all site entry requirements are completed.

  • Arrange and manage the ordering, distribution, and inventory of Personal Protective Equipment (PPE) to support site safety requirements.

  • Provide general administrative support to the construction team, including document preparation, record management, and coordination of day-to-day site administration activities.

  • Provide administrative support to the site project team to ensure the efficient operation of project activities.

  • Coordinate the procurement of materials, equipment, and consumables, including arranging and tracking deliveries to site.

  • Manage SAP transactions, including the creation and maintenance of purchase orders, goods receipting, journal processing, and resolution of related queries.

  • Reconcile financial and operational data between the Accounts Department and site records to ensure accuracy.

  • Maintain systems, records, and procedures to support contractual and compliance requirements.

  • Assist in the preparation of project reports by compiling and providing relevant data and information.

  • Maintain an organised filing and document control system, ensuring site documentation is accurate, accessible, and up to date.

  • Coordinate corporate functions, meetings, and site events as required.

  • Arrange travel, accommodation, and mobilisation logistics for employees and subcontractors.

  • Perform other duties and administrative tasks as reasonably directed by management.

About You

  • Previous administrative experience in a Construction / Project site environment

  • Proficient skills in computers: MS Word, Excel, Access, email etc.

  • Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast paced environment with multiple and competing demands
