Job Purpose
The Project Administrator will provide administration and documentation support for the Digital Radio Systems project in Queensland to ensure the smooth day-to-day running of the project and site locations. The role will support the wider Rail & Technology Systems line of business as required.

Key Responsibilities
Provide end-to-end project administration support across multiple workstreams to support the project team and the wider business unit as required.
Purchase of materials, equipment and consumables including co-ordination of delivery to site.
Coordinate project procurement activities, including raising purchase requisitions, tracking orders, and liaising with vendors and internal procurement teams.
Create purchase orders to venders using SAP, including goods receipting and journaling as required in the Vendor Invoice Management System (VIMS) for invoice reconciliation.
Create and manage spreadsheets and trackers for activities.
Maintain systems and procedures for contractual requirements.
Provide assistance and data for the preparation of reports.
Travel and Expense management – travel booking assistance including mobilisation of employees and subcontractors when required, reconciliation of corporate card expenses.
Payroll administration backup including SAP timesheet entries for blue-collar and white-collar staff, when required.
Document control – assist with administering document transmittals to clients and subcontractors, ensuring compliance with project, procurement and client requirements.
Administration support for the mobilisation of new employees to site and office locations, including IT ordering, accesses, and inductions.
Maintain project records, procurement registers, and systems (SAP, Project SharePoint, MS Office).
Manage onboarding, timesheets, procurement coordination, and general logistics.
Qualifications
Certificate IV or Diploma of Business Administration (desirable).
A minimum of 3 years’ experience in administrative roles, ideally within a rail, engineering, or construction environment.
Proficient computer skills and experience with Microsoft Office Suite of programs: MS Word, Excel, Outlook, Powerpoint.
