We are looking for a highly organised and proactive Project Administrator to provide essential support to our Project Management team. About the Role

As Project Administrator, you will be responsible for delivering efficient and effective administrative support across a range of project activities. From processing timesheets and onboarding employees and contractors to managing invoices, purchase orders, and project reporting, you will play a vital role in keeping projects running smoothly.

You will work closely with project teams, suppliers, contractors, and clients, ensuring information is accurately recorded, processed, and reported in line with company procedures.

Key Responsibilities

  • Provide accurate and timely administrative support to the Project Management team.

  • Process purchase orders, goods receipt notes (GRNs), and complete monthly reconciliations.

  • Collate, verify, and maintain project timesheets and attendance records.

  • Manage holiday, absence, and overtime records.

  • Coordinate onboarding submissions for employees, contractors, suppliers, and drivers.

  • Produce reports, KPIs, and project data using systems such as SAP, Excel, Entropy, and other business platforms.

  • Maintain project records, quotations, schedule agreements, and supporting documentation.

  • Process invoices through Basware and prepare VAT invoices using SAP.

  • Manage purchase card reconciliations and maintain purchase order trackers.

  • Obtain missing tickets and ensure submission through STARS.

  • Produce client reports, including delivery and volume reporting.

  • Arrange meetings, take minutes, coordinate travel and accommodation requirements, and provide general administrative support.

  • Ensure compliance with all Heidelberg Materials procedures and site-specific requirements.

What We're Looking For

Essential

  • GCSE Grade 4/C or above in English and Maths (or equivalent).

  • Strong administrative experience within a busy office or project environment.

  • Excellent communication and organisational skills.

  • Good working knowledge of Microsoft Office applications.

  • Strong Excel skills, including data analysis and reporting.

  • Ability to handle confidential information with discretion and professionalism.

  • Full UK driving licence and access to your own vehicle.

  • Working understanding of Excel is essential.

Desirable

  • Experience using SAP.

  • Experience using Basware or similar invoice processing systems.

  • Advanced Excel skills including:

    • Pivot Tables

    • VLOOKUP/XLOOKUP

    • Macros

    • Slicers

  • CSCS Level 1 Certification for HPC construction sites.
