About the Role:

RSGx Malaysia Sdn Bhd is seeking a highly organised and detail-oriented Project Administrator to join our growing team. This is an exciting remote opportunity from Malaysia to support a project in the Pilbara, Western Australia. The successful candidate will play a crucial role in supporting the project management team, overseeing administrative tasks, and ensuring smooth project operations.

The candidate will be employed full-time under RSGx Malaysia Sdn Bhd and will be office-based in KL Eco City, with working days from Monday to Friday.

Key Responsibilities:

• Organising and maintaining project documentation, ensuring compliance with internal systems.
• Providing administrative support to the project management team.
• Coordinating mobilisation, including contractor onboarding, safety, and training.
• Processing travel, accommodation, and PPE orders for the project team.
• Managing project rosters to ensure efficient workforce allocation.
• Preparing daily, weekly, and monthly reports to track project progress.
• Using Microsoft 365 for document creation, reporting, and communication.
• Managing purchase orders, obtaining quotes, and processing claims.
• Collaborating with other teams to ensure smooth project operations.
• Performing ad hoc tasks as required to support project needs.

About You:

To succeed in this role, you will bring:

Strong knowledge of project documentation, scheduling, and administrative processes.

A Certificate IV in Business Administration is preferred but not essential.

Experience, Competence, Skills & Knowledge:

• At least three years of experience in project or site administration, preferably in construction, mining, or infrastructure projects.
• Proficiency in Microsoft 365, including Word, Excel, Outlook, and PowerPoint.
• Workflow and SuccessFactors experience is preferred.
• Strong organisational and multitasking abilities to handle various aspects of project administration.
• Exceptional attention to detail and accuracy in documentation and reporting.
• Excellent verbal and written communication skills for interacting with team members, clients, and stakeholders.
• Experience working in remote environments. Ability to adapt quickly to new tools, systems, and project requirements.
• Strong ability to prioritise tasks, manage multiple responsibilities, and meet deadlines.
• Ability to collaborate effectively with diverse teams to resolve issues and maintain project momentum.
