Position Title: Project Administration Assistant – Phouxiengthong, WWF-Laos
Location: Khongxedon District, Salavanh Province (Field Office)

Background:
The World Wide Fund for Nature (WWF) has had a presence in Laos since the late 1980s, when it contributed to some of the first biodiversity surveys that established Laos’ protected area system. The office in Laos was officially established in 2001. Today, our main office for WWF-Laos is in Vientiane Capital, with field offices in multiple provinces.

WWF-Laos works with government, civil society, the private sector and other partners to address the drivers of biodiversity loss and to move towards a greener nature-based future where the people of Laos can thrive and live in harmony with nature.
Our vision is “a vibrant and sustainable future for Laos, shaped by inclusive conservation that protects biodiversity, ensures equitable benefits, and nurtures harmony between people and the environment”. Conservation is WWF’s core work, and our programmes in Laos are implemented under four broad thematic areas: Forests, Wildlife, Freshwater and Circular Resilience. As outlined in WWF-Laos’ 2026-2030 strategic plan, we focus our conservation efforts in three main landscapes, eight priority sites and three cities.
WWF-Laos’ Freshwater Programme focuses on the protection and improvement of aquatic resources, habitats and species. The Freshwater projects support the creation of community fisheries management committees and Fish Conservation Zones co-managed by local authorities and communities. Through this process, the livelihoods of local fishing communities are improved thanks to higher fish stocks as well as alternative sources of income supported by the projects. Research on project impact on biodiversity and social development is also carried out.
Phou Xieng Thong National Protected Area holds strong potential as a vital conservation landscape along the Mekong River. Strengthened transboundary collaboration with Pha Taem National Park in Thailand helps safeguard biodiversity and support local communities. This partnership promotes joint biodiversity surveys, nature-based ecotourism, and inclusive conservation.
By engaging communities and local authorities on both sides of the Mekong, we aim to build a resilient, well-connected ecosystem. Phou Xieng Thong stands as a model for collaborative management, where protecting nature goes hand in hand with creating sustainable opportunities for generations to come.
The post holder will be based in Khongxedon District of Salavan Province and will work in close coordination with the Project, as well as the freshwater landscape teams.
Major Functions:
Project Administration Assistant – Phouxiengthong, based in Kongsedone Office, Salavanh Province, provides assistance in various aspects of administration, logistics, procurement, and support implementation of the Project. He/she ensures compliance with operations systems, policies and procedures of WWF Laos.

Major Duties and Responsibilities:
• Support day-to-day office administration, logistics, filing, and record keeping for project activities.
• Assist in maintaining office assets and equipment, including updating asset records and supporting inventory checks as required.
• Support office safety and security arrangements through regular checks and reporting any issues to the supervisor.
• Assist in managing project vehicles, including maintaining vehicle logbooks, monitoring maintenance schedules, and keeping vehicle-related records up to date.
• Support procurement processes in compliance with WWF policies and procedures, including obtaining quotations, preparing procurement documents, and maintaining procurement records.
• Assist in organizing meetings, workshops, training events, study tours, and other project activities, including logistical arrangements and participant coordination.
• Support travel arrangements, accommodation bookings, and transportation for staff, consultants, and visitors as required.
• Maintain proper filing systems for administrative, procurement, and logistical documents.
• Support communication and coordination with government partners, suppliers, service providers, and other stakeholders on administrative matters.
• Provide general administrative and operational support to the Project Manager and project team.
• Perform other duties as assigned by the supervisor.

Qualifications Required:
• Diploma or Bachelor’s degree in Business Administration, Accounting, Finance, Management, English, or a related field.
• At least 1 year of experience in administration, logistics, procurement, or office support is preferred.

Other Qualifications Required:
• Good organizational and communication skills.
• Basic knowledge of Microsoft Office applications (Word, Excel, PowerPoint).
• Ability to work effectively with colleagues, government partners, and service providers.
• Good command of Lao and basic English communication skills.
• Experience working with NGOs or development projects is an advantage.

Working relationships:
• Internal: Interacts closely with Project Manager, Senior Officers, Officers, Interacts regularly with the Admin team and Procurement. Engages with and supports Phouxiengthong staff.

• External - Interacts with governmental institutions, non-governmental organizations, academic institutions, the media, partners, specialists/consultants, communities, and other stakeholders.
