The Project Coordinator will be responsible for the day-to-day operational management, coordination, and successful execution of the European Commission Horizon project. This pivotal role requires a highly organized, pro-active individual with a strong understanding of EC project management guidelines, excellent communication skills, and an appreciation for the technical domain of AI, risk management, and critical infrastructures. The Coordinator will act as the central point of contact for the consortium, ensuring effective collaboration, timely delivery of deliverables, and adherence to administrative, financial, and reporting requirements.
Key Responsibilities:
1. Project Management & Coordination:
* Serve as the primary point of contact for the European Commission and all consortium partners.
* Develop and maintain comprehensive project plans, including work packages, timelines (Gantt charts), milestones, and deliverables.
* Monitor project progress, identify potential risks and deviations from the plan, and implement corrective actions in consultation with the consortium.
* Organize, prepare agendas for, and facilitate regular consortium meetings (virtual and in-person), workshops, and steering committee meetings.
* Ensure effective communication and information flow among all project partners.
* Manage project documentation, ensuring all records are up-to-date, accessible, and compliant with EC regulations.
* Facilitate the resolution of conflicts and challenges among partners, promoting a collaborative working environment.
2. Financial Management & Reporting:
* Oversee the project budget, monitoring expenditures against planned allocations for all partners.
* Coordinate the collection and validation of financial reports from consortium partners.
* Prepare and submit accurate and timely financial reports, including periodic cost statements, to the European Commission.
* Ensure compliance with all financial rules and regulations of the Horizon Europe programme.
* Assist partners with queries related to eligible costs and financial reporting guidelines.
3. Administrative & Grant Agreement Management:
* Ensure strict adherence to the Grant Agreement and Consortium Agreement.
* Manage all administrative aspects of the project, including amendments to the Grant Agreement, if necessary.
* Prepare and submit official correspondence and documentation to the European Commission.
* Maintain an organized repository of all project-related contracts, agreements, and official communications.
4. Deliverable & Reporting Management:
* Coordinate the preparation, review, and submission of all project deliverables and progress reports to the European Commission.
* Ensure the quality, accuracy, and timely completion of all reports (technical, financial, and periodic).
* Track the status of deliverables and ensure appropriate review cycles within the consortium.
5. Communication, Dissemination & Exploitation Support:
* Work with the Communication/Dissemination Work Package Lead to support the development and execution of the project's communication and dissemination strategy.
* Ensure project visibility through the project website, social media, and participation in relevant events.
* Support the exploitation manager in identifying potential pathways for impact and commercialization of project results.
6. Quality Assurance & Ethics:
* Support the implementation of the project's quality assurance plan.
* Ensure all project activities comply with ethical guidelines and data protection regulations (e.g., GDPR), particularly concerning sensitive data related to critical infrastructures.
