The Program Support Specialist is responsible for maintaining service recipient and staff records, preparing and auditing required documentation, assisting with data collection and communication, and ensuring timely and accurate processing of required reports and forms. The position requires strong attention to detail, excellent organizational skills, and the ability to collaborate effectively with Regional Director, District Managers, Program Managers, Lead DSPs, and other team members.
Knowledge:
• Understanding state and federal regulations, including 245D documentation standards.
• Familiarity with office systems, digital filing, and basic HR or compliance recordkeeping.
• Knowledge of company policies, forms, and reporting timelines.
Skills Required:
• Excellent organization, accuracy, and time management skills.
• Strong written and verbal communication.
• Ability to maintain confidentiality and professionalism.
• Proficiency with Microsoft Office, Google Workforce and digital documentation systems.
Essential Functions:
• Maintain complete, accurate, and current service recipient and employee records.
• Complete and file all required 245D forms and documentation (admissions, authorizations, support plans, rights, medication records, etc.).
• Conduct quarterly audits of service recipients and staff files to ensure compliance.
• Assist with preparation and mailing of progress reports, team meeting packets, and satisfaction surveys.
• Track admission and discharge updates and report changes to management.
• Support monthly staff meetings by preparing required materials and maintaining attendance documentation
• Maintain confidentiality of all personnel and service recipient records.
• Provide support and information to Program Managers, Lead DSP, and District Managers.
• Assist with additional administrative projects as assigned.
Education and Experience:
• High School diploma or equivalent and 18 years of age or older
• At least one (1) year of administrative or clerical experience is required, preferably in healthcare, human services, or compliance-based settings.
• Experience with Microsoft Office Suite, Google Workspace, digital filing systems, and confidential documentation handling is preferred.
