Project Admin Support Officer / Office Administrator

What you’ll do

As a Program Support Officer / Office Administrator within our Townsville office, you'll play an important role in supporting project and program delivery through maintaining the effective completion of administrative processes and ensuring support is provided to allow our project teams to continue delivering industry-leading outcomes to our clients..

You will work closely with project managers, program leaders, and operational support teams, contributing to the efficient coordination of systems, and processes as part of your day-to-day activities.

This role will require you to working predominately in the office.

Key Responsibilities

  • Support project and program and the wider teams by coordinating and completing a range of administrative and operational activities.
  • Process workflows using Aurecon and client systems, ensuring compliance with requirements and procedures..
  • Upload, manage and maintain project documentation, ensuring accuracy, security, and compliance with required processes.
  • Assist project managers with initiating requests, coordinating information and contributing to delivering project outcomes to a high standard and service.
  • Prepare, review and format project documentation, meeting minutes and reports to support effective project delivery.
  • Coordinate meetings and events on behalf of senior team members for various internal and external attendees.
  • Collaborate with geographically dispersed team members to provide responsive support across a portfolio of Defence projects.
  • Assist with the smooth day-to-day operations of the Townsville office, coordinating general administration and workplace requirements to ensure a well-organised environment for the local team.

What you’ll bring

We're open to candidates from a variety of industries and backgrounds who bring strong administrative capability, a proactive mindset and a genuine desire to learn. Whether your experience comes from office administration, healthcare, retail, Defence or another sector, you'll be supported to develop the technical aspects of the role.

  • Demonstrated experience in an administration, office support, coordination or project support role.
  • Strong organisational skills and the ability to manage competing priorities while maintaining attention to detail.
  • Confidence working with systems, documentation and administrative processes.
  • Excellent communication and interpersonal skills, with the ability to build productive working relationships across teams.
  • A proactive and collaborative approach, with a willingness to learn new tools, systems and ways of working.
  • The ability to obtain and maintain a Defence security clearance. Australian Citizenship is required.
  • Approximately 3-5 years of administration or coordination experience is desirable, although candidates with relevant transferable experience are encouraged to apply.
