Job Description

THE POSITION: The Adult Education Specialist works in close collaboration with the other Specialists to plan, promote, coordinate & launch the adult education classes and family services programs and resources at Centro San Juan Diego and throughout the Archdiocese of Denver. This includes envisioning, developing, and executing programs that provide education and support for individuals that look for self-sufficiency and improve their employability. This includes ongoing program evaluation, research about programs and services, and program development that is relevant in the advocacy for individuals and families seeking education opportunities and family support services. The position is responsible for providing on and offsite support and instruction to students, teachers and volunteers, that includes registration, preparation of class materials, class logistics, evaluation and development of registration and class delivery methods, promotion, teacher and volunteer recruitment and supervision, and some event planning such as graduation. Also, this person will be responsible for the collection and tracking of payments and producing program reports on a regular basis. All responsibilities are performed under the supervision of the Program Manager, in accordance with the teachings of the Catholic Church and the goals and objectives of the organization.

ESSENTIAL DUTIES

• Planning and coordination of the following programs: AARP Tax-Aide at Centro San Juan Diego, Legal Night at Centro San Juan Diego/Online, English as Second Language (ESL) at Centro San Juan Diego/Online or other locations.
• Securing program resources; registrations, collecting fees and keeping track of payments, preparation of class materials, classroom and online logistics, supervision of volunteers and instructors.
• Shadow classes online.
• Assist in the hiring and selection of instructors & volunteers.
• Provide basic technical support to instructors and students to help them connect to classes and access attendance sheets, exams, etc.
• Plans and coordinates evaluation of programs and propose changes to continuously improve the quality of the programs offered.
• Return and screen calls and provide referrals when necessary.
• Maintain and produce adequate reporting of programs.
• Compose, prepare, and distribute correspondence and other documents as instructed.
• Prepare and maintain files and records.
• Attend program and staff meetings and maintains correspondence and files as required.
• Meet with the Program Manager on a regular basis.
• Work effectively in a team environment.
• Assist with other activities as needed by the Centro San Juan Diego team.
• Demonstrate commitment and high professional standards.

LEADERSHIP & PUBLIC RELATIONS:

• Promote programs and services and recruit students.
• Develop marketing and promotion of classes and services through media, parishes, and community organizations.
• Train teachers and volunteers through an orientation process.
• Establish and maintain relationships with networks and partners to launch classes and services and ensure program success and positive outcomes.
• Supervise all programs and services offered under his/her responsibility including teachers and volunteers.
• Communicates regularly with staff, teachers, and volunteers about organization events and activities.
• Manage complaints and student issues.
• Represent the organization well by serving as a role model for the students.

ORGANIZATION:

• Provide hands-on assistance in direct collaboration with teachers and volunteers including student registration, fee structure and collection, curriculum development and research.
• Plan and coordinate evaluation of programs and propose and implement innovative ideas to continuously improve the quality of the programs offered.
• Able to multitask and delegate tasks to maintain efficient operations of the program.
• Organize meetings with volunteers and students as needed to maintain communication and understanding of expectations.
• Plan and coordinate annual events such as class graduation.
• Coordinate talks, field trips, and other activities with local organizations.
• Research needs of the Hispanic Catholic Community and develop programs aimed to address those needs.

PROGRAM BUDGET & DEVELOPMENT:

• Forecast annual budget and maintain accurate records on an ongoing basis.
• Submit expenses and revenue related to the program.
• Adjust and implement appropriate fee structures for the classes.
• Review accounting records for the program.
• Help track data for potential grant opportunities for the program and work closely with Operations Manager on other development opportunities.
• Any other duties as assigned by supervisor.
