Program Specialist

Purpose of the Job

The Program Specialist (NAP) plays a key role in ensuring the effective implementation of the Not Alone Program by providing comprehensive technical support. This includes coordinating program activities, managing data and documentation, supporting Monitoring & Evaluation (M&E) processes, and facilitating communication between the field and the Cairo office. The role also contributes to training and capacity building for field teams, ensures compliance with program quality standards, and assists in program reporting and knowledge sharing. By combining strong attention to detail with an understanding of overall program objectives, the Program Specialist helps connect program components and stakeholders to enhance program impact.

Essential Functions and Responsibilities

Program Coordination and Support

  • Track progress of program cycles, including workshops, rep meetings.
  • Maintain centralized calendars, trackers, and implementation schedules.
  • Follow up on field team deliverables and escalate delays or issues to the Sr. Program Manager.
  • Design and coordinate the rollout of new forms, tools, and updates in collaboration with the field team, as directed by program management.
  • Handle correspondence with external organizations on matters such as scholarship requests and other program-related inquiries.

Monitoring and Evaluation (M&E)

  • Apply approved M&E tools to gather, track, and assess program outputs.
  • Consolidate data from the field and flag inconsistencies or reporting gaps.
  • Contribute to assessments, surveys, and data quality reviews.
  • Support the development of periodic reports, learning reflections, and recommendations for program improvement.

Data Management and Documentation

  • Collect, validate, and enter program data into approved systems and tools.
  • Maintain organized digital and physical records for all program activities and reports.
  • Review field submissions for completeness and accuracy.
  • Generate summaries and dashboards to support reporting and decision-making.
  • Update and maintain program manuals and documentation (e.g., Reps' handbook) to reflect the latest guidelines.
  • Draft, edit, and format program letters, forms, and summary documents.

Required Education, Experience, Knowledge and Skills

  • Bachelor's degree in social sciences, development studies, or a related field.
  • 1 - 3 years of experience in NGO program coordination, project support or administration.
  • Good organizational and time management skills, with attention to detail
  • Proficiency in Microsoft office suite (especially excel and word); experience using databases or tracking tools is preferred
  • Proficient in both written and spoken English
  • Basic knowledge of M & E tools

  • Experience working with or supporting the Coptic Community is an asset

Travel and Working requirements

  • Typical Office environment: walking, sitting, typing, using office equipment, and occasional lifting of boxes or luggage during travel.
  • Travel throughout Egypt may reach as much as 30% of the time.
  • Working outside official hours and on weekends may be required.
