Job Description

Job Purpose

The Program Manager, Alumni and Scholarships leads Liliʻuokalani Trust’s (LT) alumni and scholarship programs, extending LT’s impact and reach well beyond initial program participation. This role builds a sustainable alumni network that both strengthens lifelong connections and generates longitudinal data on LT’s long-term outcomes. The Manager also oversees LT’s emerging scholarship program, connecting eligible youth and alumni who demonstrate identified need and mission-aligned goals to scholarship resources for continued education and skill development, as part of LT’s continuum of support.

These programs represent an important area of organizational growth, and this role will work collaboratively to shape their design, implementation, and sustained impact.

By combining authentic relationship-building with robust data practices, the Manager keeps alumni connected to a supportive network of mentors, community leaders, and, where appropriate, scholarship recipients, while clearly measuring and sharing the enduring impact of Queen Liliʻuokalani’s legacy.

Essential Responsibilities

Alumni Program Design & Implementation

  • Build and oversee LT’s alumni program, including framework, strategy, infrastructure, and events.
  • Design and maintain the Alumni Program and Scholarship Program as connected parts of LT’s continuum of support, so alumni know what is available and how to access it.
  • Establish and manage alumni directory and contact collection systems in collaboration with IT and Program teammates.
  • Conduct alumni gatherings across program locations to strengthen community and test engagement strategies.
  • Develop a multi-year alumni engagement strategy and roadmap, including program goals, milestones, and success metrics.
  • Segment alumni by cohort, program pathway, life stage, and scholarship status to tailor outreach, programming, and support to their evolving needs.
  • Establish alumni program policies, procedures, and eligibility guidelines, and manage the Alumni Program and Scholarship Program budgets including vendor and venue relationships for events and gatherings.

Scholarship Program Administration

  • Administer LT’s Scholarship program in partnership with the Scholarship Review Committee, connecting eligible youth and alumni to scholarship opportunities as part of LT’s continuum of support.
  • Develop and maintain scholarship program guidelines, application materials, and FAQs to ensure youth and alumni understand eligibility and requirements.
  • Partner with program and communications teammates to design scholarship program launch materials and outreach strategy, ensuring that eligible participants are aware of the opportunities available.
  • Partner with Program teammates to identify and document youth with demonstrated financial need and mission-aligned educational or skill-development goals, supporting the Scholarship Review Committee’s eligibility review.
  • Maintain participation and engagement records in a form that supports scholarship eligibility verification and LT’s compliance documentation.
  • Coordinate the scholarship application and review process end-to-end, including timelines, application materials, and communication with applicants.
  • Coordinate Scholarship Review Committee meetings, agendas, and documentation, and support onboarding for committee members.
  • Provide the Scholarship Review Committee with relational context on applicants, reflecting LT’s relationship-based, strengths-based approach to award decisions.
  • Manage the scholarship budget and track disbursements and award data in partnership with Finance, ensuring accurate and timely reporting.
  • Maintain ongoing contact with scholarship recipients through established touch points (newsletters, gatherings, check-ins), providing relational support consistent with LT’s restorative, non-punitive approach to accountability.
  • Incorporate scholarship recipient status, progress reports, and outcomes into longitudinal tracking and impact reporting.

Longitudinal Tracking & Data Infrastructure

  • Design and maintain systems to capture alumni outcomes over time, in close partnership with the Research & Evaluation team which leads the measurement framework and analysis.
  • Create reporting processes to monitor alumni trajectories in key domains (education, employment, cultural identity, wellness) including scholarship persistence completion.
  • Integrate data collection into engagement activities (events, communications, surveys) to ensure ongoing information flow.
  • Ensure data accuracy, privacy, and alignment with LT’s broader impact framework.
  • Develop alumni surveys and assessment tools to capture outcomes at key milestones (e.g., 1, 3, and 5 years post-program).
  • Analyze alumni and scholarship data to identify trends, gaps, and opportunities for program improvement, and present findings to leadership and program teams.
  • Maintain data governance protocols, including consent, retention, and access controls, for alumni and scholarship records, including consent to share alumni and scholarship recipients’ stories and voices.
  • Collaborate with the Research & Evaluation team to align alumni and scholarship metrics with LT’s broader theory of change and impact framework.

Alumni Engagement & Communications

  • Partner with the Communications team to amplify alumni voices across LT channels.
  • Plan and deliver consistent alumni touch points, including newsletters, event invitations, and LT-sponsored opportunities.
  • Develop and manage alumni content, including spotlights, profiles, and branded storytelling pieces that feature alumni and scholarship recipients, with their consent.
  • Foster a culture of belonging within the alumni community to encourage sustained participation.
  • Manage a multi-channel alumni communications calendar (email, social media, print) tailored to alumni interests and life stages.
  • Develop and maintain an alumni resource hub with information on opportunities, benefits, scholarship eligibility, FAQs, and upcoming events.
  • Recruit and support an alumni ambassador or advisory group to inform the design of the Alumni Program and Scholarship Program and to represent the alumni voice.
  • Track engagement metrics (open rates, event attendance, survey participation, scholarship applications) to continuously refine outreach strategies.

Storytelling, Mentorship & Cultural Anchoring

  • Collect and share alumni stories that highlight LT’s long-term influence.
  • Facilitate alumni involvement in mentorship, leadership, and other meaningful “give back” initiatives.
  • Cultivate alumni as role models who uplift current and future kamalei and strengthen LT’s mission-driven community.
  • Develop a structured alumni mentorship program pairing experienced alumni with current program participants and scholarship recipients.
  • Coordinate alumni participation in LT events, panels, and community initiatives that showcase lived experience and cultural knowledge.
  • Support alumni in building leadership skills through targeted trainings, workshops, and speaking opportunities.

Other duties

  • Assist in programs and events as needed.
  • Contribute to the Trust’s success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results.
  • Evening and weekend hours required as needed.

Qualifications

  • Bachelor’s degree or equivalent experience required. Master’s degree preferred.
  • Minimum of 5 years of experience in project management, alumni relations, scholarship administration, program development, community engagement, youth work, or program evaluation.
  • Strong project management and organizational skills with proven ability to manage multiple projects simultaneously.
  • Familiarity with longitudinal data systems, CRM platforms, or impact reporting required.
  • Familiarity with scholarship, grant, or financial aid program administration required.
  • Excellent communication and relationship-building skills across diverse stakeholders.
  • Demonstrated ability to balance strategic vision with hands-on execution.
  • Strong facilitation and coaching skills to lead with influence and build consensus to drive change.
  • Experience in performing frontline work in a variety of settings (schools, public spaces, office, distressed communities, etc.).
  • Comfort with youth work, particularly engaging with vulnerable youth.
  • Experience in Microsoft software such as Excel, Word, and PowerPoint.
  • Ability to welcome a change in direction, work collaboratively, and remain flexible.

Travel Requirements

  • Ability to travel to kīpuka and other locations, both in and out of state, as required for meetings, conferences, trainings, and events.

Ability to lift 25+ pounds. Requires sitting indoors for extended periods of time. Ability to work weekends when needed.
