Job Description

The role of the Program Manager coordinates project tasks at the program level, in order to support the FacilityForce implementations of Facility Resource Planning (FRP) software products (IWMS/CMMS/EAM) primarily for the government sector. Tasks will primarily include forecasting, sales & revenue, resource allocation, and escalation resolution. The Program Manager should have knowledge of the Facility Force suite of products and Professional Services ways of working. The program manager also serves as a leader and mentor to the rest of the Professional Services Team.

Duties/Responsibilities

  • General

    • Work collaboratively with team members, actively participate in discussions, decisions, and all project activities

    • Communicate and coordinate with coworkers and customers

  • Program Management

    • Responsible for the management of the Professional Services and Custom Development JIRA boards and ensuring tickets are assigned and completed by deadline

    • Responsible for ensuring that resources have at minium 6 weeks of reservations lined up at the billability targets identified for each resource type

    • Responsible for managing implementation CPI

    • Plan and coordinate deliverables for:

      • Multi-phase, long term projects

      • High revenue impact / high visibility projects

      • Milestone / T&E Not to Exceed projects

    • Committees

      • Attend stand-ups for

        • Project Implementation (participant)

        • Custom Development (participant)

        • PMO (leader)

      • Attend Executive Steering Committee meetings with the customer

    • Forecasting

      • Identify project resource needs in both the short (3 months) and medium (12 months) term

        • Project Backlog

        • Ongoing Implementations

        • Custom Development

        • Net New Sales Opportunities

        • Back to Base Sales Opportunities

    • Conflict Resolution

      • Serve as the next level of escalation above the implementation specialist

      • Work with the implementer and management to determine the best course of approach

    • Billable Utilization

      • Strive to achieve a team billable utilization of 70% or greater

  • Product

    • Provide product recommendations that improve sales and/or customer retention

  • Sales

    • Drive additional back to base sales that meet sales targets

    • Assist the Director of Professional Services in the RFP and Implementation Services quoting processes

    • Assist the Director of Professional Services in developing and reviewing Statements of Work (SOWs)

    • Provide recommendations for SOW process improvement

  • Implementation

    • Serve as the Project Manager of last resort during times where resources are limited

      • Project Management

        • Coordinate Project Meetings

        • Manage Project Risk and Quality

        • Project planning, scheduling of resources, and forecasting work

        • Update Project Metrics

        • Manage Project Documentation

      • Develop project deliverables

        • Training materials and training

        • Documentation of processes

        • System related setup

        • Walk-through and testing

    • Competency:

      • Informed (competency level 3) in at least 100% of the Facility Force suite of products

  • PMO

    • Plan, Standardize, and Train the PS team on best practices for Facility Force implementations

    • Maintain the PMO documentation

    • Ens

    • Serve as a leader and mentor to Professional Services colleagues

  • Continuing Education

    • Continuous of improvement of FacilityForce product knowledge

    • Maintain the Project Management Institute (PMI) PMP Certification/Recertification within 5 years

  • Travel: Variable (5-40% per year; typical 20%)

Essential Qualifications

  • Bachelor of Science or Arts

  • PMI Project Management Professional (PMP) Certified

  • Experience with CMMS, IWMS or FRP software

  • Adept with MS Office (Word, Excel, Powerpoint) or equivalent

  • Interest in software implementation and project management

  • Strong interpersonal skills:

    • Ability to actively listen to clients and colleagues

    • Ability to be a leader and a consultant - to remain calm under pressure, problem solve and be practical

    • Ability to communicate effectively, convey complex ideas, provide best practice recommendations and foster trust

    • Ability to serve as a mentor and leader

  • Strong Documentation Skills

    • Ability to review, update and maintain documentation

    • Ability to understand, record and assist with the prioritization of business requirements, issues, risks, action items and decisions

    • Ability to break down complex processes into step by step instructions

    • Ability to demonstrate flexibility in the role and the tasks assigned to meet project objectives

    • Ability to work collaboratively with colleagues in a results-driven, high utilization and team-oriented environment

    • Ability to accurately assess level of effort, and request support/delegate tasks where necessary in order to meet project deadlines

  • Highly motivated, proactive, and take pride in one’s work

Preferred Qualifications

  • Masters degree or equivalent

  • Adept with AssetWorks/FacilityForce software

  • Experience as an employee or business partner of a facilities organization in the government, public or higher education sector (5+ Years Preferred)

  • Programming experience (basic SQL, Report development, Javascript, java, etc.)

  • Experience working with relational databases (5+ Years Preferred)

  • Experience with the Atlassian suite of products or equivalent

  • Experience with NetSuite OpenAir or equivalent

  • Experience with Microsoft Project
