The Coordinator supports the planning, coordination, implementation, and assessment of major university-wide signature events, including winter and spring commencement ceremonies and Family Weekend, under the direction of the Senior Coordinator. This position plays a key role in the operational and logistical execution of programs by managing detailed planning tasks, maintaining accurate data and records, and providing exceptional customer service to students, families, faculty, staff, and campus partners. The Coordinator actively contributes to the planning and execution of Welcome Week and collaborates closely with other Coordinators and Student Involvement Center staff to support large-scale events such as Festival ISU and Parent and Family programming and other major initiatives that foster a welcoming, engaging, and inclusive campus environment

Salary Rate / Pay Rate

$46,000 - $50,000 annual, in addition to an excellent benefits package

Required Qualifications

  1. Bachelor's or equivalent degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Higher Education Student Affairs, or a closely related field.
  2. At least one year (12 months) of full-time experience that includes event coordination, program support, customer service, or administrative responsibilities.
  3. Demonstrated attention to detail with strong organizational and time-management skills.
  4. Proficiency with Microsoft Office, with a strong emphasis on Microsoft Excel for data tracking, reporting, and reconciliation.
  5. Strong written and verbal communication skills.

Preferred Qualifications

  1. Master's degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, Leadership, or a closely related field.
  2. Experience with coordinating commencement ceremonies, large-scale events, ceremonial programs, or other complex university-wide programs.
  3. Experience collaborating across departments and working as part of a team on major events

Work Hours

Core Hours: 8:00am-4:30pm Monday through Friday, with occasional nights and weekends

Functional Expectations

Must be able to complete the following with or without a reasonable accommodation:

During programs:
1. Stand, bend, reach, carry, and move for long periods of time.
2. Lift and transport up to 50 lbs. of program supplies, using a cart.
3. Drive a golf cart.
4. Provide clear verbal directions using a two-way radio.

Other times/majority of the year:
1. Effectively communicate with campus partners, students, and families on a daily basis.
2. Remain at a workstation for extended periods.

The Civil Service examination for this classification is based on your application materials and responses to the supplemental questions. No participation other than submission of applicant materials is required from applicants that qualify to take the exam. If you meet the minimum required qualifications for this position, you will receive a score calculated based on your education and experience, and your name will be placed on the active employment register by exam score. After the application deadline, the names within the top three scores will be referred to the department for interview. The active register for this classification will be voided when the position is filled.

Residency Requirement: If hired, out-of-state candidates must establish Illinois residency within 180 calendar days from the start date for this position.
