The Program Manager is responsible for managing the day-to-day execution, coordination, and financial performance of assigned customer programs. This role serves as a key point of contact between customers, Account Managers, internal departments, subcontractors, and vendors to ensure projects are delivered accurately, on time, and in alignment with customer expectations. The Program Manager supports multiple programs simultaneously, maintains strong visibility into project status and financial details, and helps drive communication, accountability, and issue resolution throughout the project lifecycle.

- Support assigned customer programs by maintaining project documentation, timelines, status updates, and reporting across ERP systems, customer portals, SmartSheets, and internal tracking tools.
- Create, update, and track purchase orders, change orders, invoices, project budgets, and related financial documentation to support accurate project administration.
- Monitor accounts receivable activity, assist with invoicing issues, and support financial tracking in partnership with Account Management, Program Management, and Accounting.
- Coordinate subcontractor and vendor activities by tracking timelines, deliverables, documentation, and closeout requirements.
- Communicate project updates, documentation needs, schedule concerns, and customer requests to internal teams, customers, vendors, and subcontractors.
- Support project lifecycle activities, including data entry, document collection, compliance tracking, closeout packages, reporting, and administrative coordination.
- Maintain accurate and organized project records to support visibility, accountability, and timely decision-making.
- Assist with process improvements that strengthen reporting accuracy, workflow efficiency, and overall customer service.

Required
- Bachelor’s degree or equivalent combination of education and relevant work experience.
- 1–3 years of experience in project coordination, program coordination, administrative support, customer service, operations, accounting support, or a related role.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
- High attention to detail with the ability to maintain accurate data, documentation, and reporting.
- Strong verbal and written communication skills with the ability to work effectively with internal teams, customers, vendors, and subcontractors.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to learn and use ERP systems, customer portals, project tracking tools, and reporting platforms.
- Customer-focused mindset with strong problem-solving skills and the ability to adapt to shifting priorities.
Preferred
- Experience in construction, signage, manufacturing, facilities maintenance, or project-based service environments.
- Experience working with ERP systems, SmartSheets, CRM tools, or customer project portals.
- Experience supporting project financials, including purchase orders, change orders, invoicing, accounts receivable, and budget tracking.
- Prior experience coordinating subcontractors, vendors, or field-based work.

Pay Range
$48,000.00 - $55,000.00 annually - A pay range listed reflects the potential pay for this role. The pay will depend on various factors, such as responsibilities of the position, job duties/requirements, and relevant experience and skills. Not all positions posted will have a pay range listed.
