Job Description
The Program Coordinator ensures the efficient operation of the Physician Assistant Studies (PA) program. Responsibilities include, but are not limited to, assist in program planning and development; interpret, monitor and analyzes information regarding operating policies and procedures; managing the admissions process, program management and assessment through both didactic and clinical phases, confidential oversight of student application and program documentation, and resolves problems that have a significant impact on the overall goals of the PA program.The Program Coordinator assists the Program Director and the Program Faculty ensuring compliance with University policies and procedures and identifying competencies for the PA Program that reflect the knowledge and skills necessary for the successful completion of the Program, ARC-PA accreditation, passing of the NCCPA board examinations, and professional practice.
Essential Job Duties & Responsibilities
- Assists in the Recruitment of competitive candidates working with the Program Director, Assistant Program Director, and the PA Faculty.
- Chairs the PA Admissions Committee and oversight of the CASPA web-portal.
- Serves as a member of the Assessment Committee and the PA Progress and Promotion Committees.
- Analyzes all applications per CASPA application cycle and summarizes program determined statistics to the Program Director and Vice President of Academic Affairs.
- Coordinates and participates in the PA Applicant interview process.
- Assists program faculty with course management of didactic instructors, clinical preceptors and clinical sites.
- Assists the Program Director in the management and implementation of the program budget.
- Continuous collection of pertinent data for self-study/accreditation and quality improvement in accordance with the program director and faculty.
- Maintains confidential student files with all appropriate and required items.
- Reviews and approves all required materials for matriculating students including tuition deposits, prerequisite coursework, appropriate transcripts, documentation of patient care hours, etc. to ensure compliance with accreditation standards.
- Assists the Program Director and faculty with production of program materials including, but not limited to: recruitment materials, admissions materials, and programmatic materials such as syllabi.
- Liaison with the Program Director for public relations and marketing for the program as well as manages the program's official social media page.
- Coordinates program events including orientation, white coat ceremony and other events as needed
- Collects and organizes continuous collection of pertinent data necessary for self-study/accreditation and quality improvement which may include exit interviews, PANCE performance and graduate surveys.
- Performs other appropriate duties as determined by the Program Director.
Qualifications
- Bachelor's degree or higher
- At least 5 years of experience in office management, communications, program planning or other related field.
- Exceptional communication and organizational skills.
- Have a collaborative approach to education and clinical site development.
- Excellent verbal, written and interpersonal skills necessary to deal effectively and courteously with students, staff, faculty, health care professionals and the public.
- Computer proficiency.
- Sensitivity to the expectations of students, staff, faculty, health care professionals and the public.
- Sensitivity to diversity and multi-cultural issues.
Additional Information
The Program Coordinator performs a variety of professional and administrative duties that facilitate the day-to-day operations of the program to include quality control, accreditation compliance, marketing and communications, and database administration and assessment. The Program Coordinator also assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures; and oversees the program budget in conjunction with the Director. The Program Coordinator possesses the ability to resolve problems that have an impact on the overall goals of the PA program.
