SUMMARY

The Program Coordinator Lead is responsible for providing team leadership (support) to a project administration team across multiple programs. This will be the requirement to ensure all aspects of the account are functioning to achieve a centralized delivery. In addition, the individual also performs project administration activities to support all aspects of the team and identifies gaps in the current delivery model and supports the recommendation for new processes to align with business and client requirements, including but not limited to supporting the team to ensure all project documentation, governance, project set up, funding, financial and technical close as well as administration close out requirements are aligned with BGIS delivery requirements.

KEY DUTIES & RESPONSIBILITIES

Team Leadership

• Lead will be involved with the support of PMO/PCO/PM’s and Governance, to enhance the accounts performance. Supporting teams of between (10-20).
• Responsible for the hiring of any new team members, including business justification for new employees, interview processes and vetting with team leads.
• Responsible for overseeing the on-boarding processes to include:
• Buddy system.
• Best practices.
• Ensure PMWeb training road map is conducted to meet account requirements.
• Provides guidance/mentors on programming practices and techniques to individuals and cross-functional teams.
• Enforces team and organizational standards and practices (e.g. at walkthroughs and peer code reviews).
• Estimates and prioritizes work to maximize value while taking into account risk, effort and dependencies.
• Engages in continuous learning by developing and executing on a learning plan.
• Supporting the PC team alignment within the PM group.
• Ensure resources are assigned and adjusted to reflect the availability of funding.
• Adjust team size to maintain margins, and deliverables for BGIS.
• Work order management, Review and confirm appropriate programs to identify and adjust to reflect client requirements.
• Monitor the PDS projects with WOs and transfer when EPO’s are required.
• Support management of client funding, monitor Opex and Capital and the assignment of projects.

Web Applications

• Performs work with reporting updates to the manager on a weekly/by weekly basis.
• SPoC for client for specialized systems that the client uses.
• SPoC as intermediary between client and our team.
• Responsible for ensuring training associated.
• Responsible for interdependencies between Client systems and BGIS systems.
• Main client liaison for all:
• Training implementation
• Fault finding for team concerns effective project life cycles.

Issue Resolution

• Link (first responder) between account and OneCall/PMweb for issue resolution.
• Provides support, guidance and production assurance for complex or urgent problems.
• Raises impediments, risks, and issues as early as possible and work with the team to mitigate as needed.
• Provides solutions / suggestions for better process / procedures.
• Advocates for quality in all aspects of development efforts based on the team's definition of quality.
• Assists in the design of business solutions.
• Works with all departments to address any financial risks, for the client of sub trades.

Impact Analysis, Process Improvement and Best Practice

• Leads team discussions in the analysis and collaboration to clarify and improve specifications or to identify alternative programming solutions.
• Conducts impact analysis for proposed changes to or problems across the system.
• Makes recommendations or decisions on application design, standards and process improvements.
• Works with the PM teams on performance issues impacting the PC team.
• Performance monitoring for the PM team, to ensure best practice is being observed, mitigating rework.
• Implement governance requirements.
• Monitor and control KPI risks.
• Responsible for implementing all process throughout the team (PC team).
• Responsible for reporting as required.

Technical Documentation

• Prepares technical documentation (e.g., user guides, technical specifications).

KNOWLEDGE & SKILLS

• 5-8 years of project administration work experience.
• In depth knowledge of PMWeb.
• Community college diploma or equivalent training.
• Ability to lead and engage a team of individuals.
• Abililty to manage multiple tasks simultaneously.
• Ability to change direction to meet business requirements.
• Advanced administrative, coordination and organizational skills.
• Advanced project administration abilities.
• Ability to support and enforce change to maintain accurate data.
• Strong attention to detail and data accuracy.
• Ability to extract and compile data into reports.
• Ability to communicate effectively with others for the purpose of providing feedback, conveying information, data exchange, clarification and follow up.
• Computer proficiency in PMWeb MS Office applications in particular – MS Project, MS Excel, MS Outlook, along with ability to quickly learn new applications.

Licenses and/or Professional Accreditation

• Demonstrates an interest in pursuing Project Management Institute Accreditation.

This is a regular, full-time position with a salary range of $96,322 - $120,402 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
