About the PA Program at Wake Forest University School of Medicine (WFUSM)

The Wake Forest PA program within the Wake Forest University School of Medicine (WFUSM), has a rich history of producing highly capable and competent clinicians. We are fortunate to have two campuses in North Carolina (Boone and Winston-Salem). The two-year PA program is divided into didactic/preclinical (1st year) and rotation/clinical education (2nd year). There are on average 88 students in each class with 24 of those on the Boone campus. The Department of PA Studies (DPAS) is seeking a program coordinator who will be located on the Winston Salem campus.

The program coordinator will work in collaboration with key program personnel to support day-to-day operations across all aspects of the educational programs. Responsible for planning, designing, and implementing programs, assisting in data collection, establishing protocols and reviewing program offerings. Provides management oversight to the data management and financial reporting for programs. Responsible for the operational execution and management of special projects within the department, including providing process management oversight, leading process improvement initiatives, and assisting leadership with strategic plan initiatives.

What You’ll Do

Integral Support: Collaborating closely with program director, key program staff & faculty, and students, you will provide administrative support to operations spanning event management, communications, expense management, curriculum and evaluation.

  • Day to day point of contact for Winston Salem program specific issues, events, and other responsibilities including but not limited to classroom coverage (as needed), guest & faculty support (copies, parking, building issues, etc.)

  • Preclinical: Provide support to ensure smooth curriculum delivery including but not limited to set-up and tear-down for curricular events such as lab practicals, simulations, and assessments; reviewing curriculum recordings in Echo360; knowledgeable in LMS – one45; tracking student attendance in Qwickly.

  • Clinical: Provide support to ensure smooth curriculum delivery including but not limited to planning, set-up and tear-down for Preparing Future Professionals and Clinical Year Prep courses. As requested, assist with course schedules on one45 and schedule Echo360 curriculum recordings as needed.

  • DMSc Program: Administrative support to DMSc program director and course directors. In conjunction with Director of Admissions, oversee the DMSc application process for DMSc applicants; scheduling virtual information sessions in CollegeNet and sending follow-up communication; work with departmental social media and marketing manager to ensure website updates are complete and upcoming sessions & deadlines publicized; ensure timely replies to wakedmsc inbox inquiries, prepare applications for faculty review, communicate with prospective and accepted applicants via CollegeNet. Providing timely communication to students from acceptance to matriculation.

  • MMS Admissions: Provide support for MMS application cycle including but not limited to College Net support, monitoring inquiries to paadmit inbox, assisting with check-in tech support for applicants (as requested), assisting with interview day logistics and recording scores.

  • Evaluation and Testing: Support evaluation activities for preclinical and clinical year including but not limited to end-of-unit & end-of-rotation exams and assessments: submitting CEAL requests, room reservations, and proctoring. Assisting with remediation proctoring as requested.

  • Accreditation: Work closely with vice chair to monitor ongoing accreditation standards process by scheduling meetings for vice chair/program director and ensuring assigned tasks are completed.

  • Manage payments related to assigned program responsibilities. Responsibilities include: collecting documentation and submitting set up requests for new vendors in Workday Strategic Sourcing, completing cost transfers, submitting payment requests, saving documentation, and communicating payment details to the office administrator.

  • Will have knowledge and proficiency of MMS student admissions administrator role and responsibilities as well as didactic program needs to ensure adequate back-up and cross-coverage across programs. Maintain standard operating processes, shared calendars, checklists and timelines. Meet regularly to ensure seamless communication and understanding of ongoing needs or issues.

  • Provide data and reports for accreditation team as requested

Team Collaboration: Beyond overseeing curricular and administrative components, this position supports the entire DPAS team during high-demand periods

  • Coordinate and/or participate in events, including but not limited to, orientation, white coat ceremony, inter-professional activities, clinical year prep, hooding and awards ceremony. Occasional overnight or day travel to Boone campus may be required during events or high-demand periods.

  • For assigned committees, scheduling meetings, taking meeting minutes and dispersing as instructed.

  • Engage with external community stakeholders through other events such as quarterly community engagement, Camp Med, and other program events

  • Will have knowledge and proficiency of department program coordinator role and responsibilities to ensure adequate back-up and cross-coverage as needed. Meet regularly to discuss any ongoing needs or issues.

What You’ll Bring

Required

  • Bachelor’s Degree

  • Two (2) years of experience or an equivalent combination of education and experience

Preferred

  • Prior program management experience preferred.

  • Prior experience with learning management system is preferred but not required.

Skills

  • Excellent written and verbal communication skills.

  • A high degree of professionalism, discretion and confidentiality.

  • Excellent analytical, problem-solving, critical thinking and technical skills, specifically with Microsoft office suite products.

  • Ability to work independently with minimal supervision.
