The Program Coordinator I supports the Child Protection Team's clinical, educational, and operational initiatives by coordinating program activities, managing schedules and communications, supporting patient care operations, and assisting with data reporting and special projects. Working closely with program leadership, providers, trainees, and external partners, this role helps ensure smooth day-to-day operations while supporting program growth, educational activities, and quality improvement efforts across the department.
This position provides administrative support to program leadership, coordinates complex provider, trainee, and patient scheduling needs, supports fellowship and educational programming, maintains program communications and resources, assists with data collection and reporting, and helps drive operational improvement initiatives. The Program Coordinator serves as a key point of contact for providers, staff, trainees, patients, and external partners, ensuring efficient program operations and continuity of care.

Key Responsibilities

  • Coordinate the daily operations and activities of the Child Protection Team (CPT) program.
  • Provide administrative support to program leadership, including calendar management, meeting coordination, correspondence, reimbursements, and presentation preparation.
  • Manage and maintain multiple program schedules, including provider, trainee, coverage, and on-call calendars.
  • Coordinate trainee onboarding, orientation, scheduling, and educational activities for medical students, residents, and fellows.
  • Support patient care operations by coordinating appointments and facilitating communication between providers, social workers, patients, and external agencies.
  • Process workforce scheduling and timekeeping activities, including staff schedules, timecards, and payroll-related submissions.
  • Collect, organize, and track program data; prepare reports, dashboards, and other materials for leadership and external stakeholders.
  • Assist with fellowship administration, recruitment activities, and application review processes.
  • Coordinate meetings, workshops, conferences, lectures, and special events, including logistics, , and reimbursements.
  • Draft written communications, promotional materials, and program resources.
  • Maintain program websites, SharePoint sites, and other communication platforms.
  • Serve as a liaison between program leadership, hospital departments, trainees, community partners, and external agencies.
  • Support operational improvement projects, clinical pathway initiatives, and other special projects as assigned.
  • Provide technical guidance, problem-solving assistance, and program information to staff, trainees, and stakeholders.


Minimum Qualifications
Education:

  • Associate's degree required or equivalent combination of education and experience.
  • Bachelor's degree preferred.


Experience:

  • Minimum of 1 year of relevant administrative, program coordination, healthcare, education, or related experience required.


Knowledge, Skills, and Abilities:

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work effectively with diverse internal and external stakeholders.
  • Strong customer service, problem-solving, and interpersonal skills.
