Program Coordinator for Biola LEARN

Function and Responsibility:
The program coordinator for Biola LEARN undertakes a variety of administrative and project management tasks. In this role, you will facilitate the planning and organization of the team’s workflow and operations in collaboration with the director. Additionally, you will leverage a variety of tools to facilitate and maintain the team’s communication, project management systems, and ongoing course development.
Alignment with Theological Positions
The person who fills this position must be someone who personally agrees with Biola’s Articles of Faith and Statement of Biblical Principles and who is supportive of the positions taken by Biola as contained in its Eschatology Teaching Position. As such, this person may not speak against or act in a manner inconsistent with these positions during the course of their employment at Biola.
Essential
Duties:
Administration
- Organizing and managing digital content on asset library and crucial documentation for Biola LEARN
- Preparing all paperwork related to payouts to Course Authors and Course Providers (Statements of Account, Journal Vouchers, Compensation Requests) on an annual and quarterly basis
- Developing and maintaining financial record-keeping systems for accurate payouts and organizational payment plans in accordance with Thinkific data
- Tracking and submitting payments made through check for payment plans via JRs
- Managing cohort-based offerings and relationships with partners by sending payment plan notification emails and developing agreements
- Processing new requests for LEARN course development on LEARN project tracking system and DLV base on Airtable
- Regularly auditing performance of courses and certificates on the LEARN platform
- Developing interfaces and/or infographics to visualize and share data related to projects and financial progress with relevant shareholders
- Performing other administrative duties, as needs arise.
Course and Product Development
- Supporting course development processes including:
- Utilizing a variety of technology tools on learning platform to build engaging and effective courses
- Creating and editing copies for Biola LEARN materials, including course text and promotional material
- Aiding in design and branding development for landing pages and course materials for new courses and certificates
- Developing future features on Thinkific for product engagement in partnership with Director
- Making ongoing adjustments to courses on platform based on requests, such as adjusting course author bios, updating broken links, or editing copies
Customer Service
- Responding to customer inquiries in a timely manner, including:
- Providing approved promotional codes for access and discounts
- Redirecting questions to relevant departments
Internal Operations
- Collaborating with Director and team on strategic conversations for Biola LEARN
- Researching and learning the Thinkific and Airtable platforms to develop smoother systems
Partner Relations
- Collaborating and maintaining communications with internal and external partners of Biola LEARN (Video team, cohort leaders, program administrators)
- Providing updates on enrollment and sales to key stakeholders (ISF, Talbot, etc.) on a monthly basis regarding larger products
- Creating visually striking and informative presentations for internal and external partners of Biola LEARN to increase awareness and foster partnerships
Social Media and Marketing
- Scheduling and develop content for social media posts with graphics from testimonials, reposts, events on campus to foster brand awareness
- Collaborating with admissions engagement strategist and design team to promote Biola LEARN as a pathway into Biola University through graphic design, promotional copy, and email marketing
- Liaising with Biola’s social media manager to align content calendars

Qualifications
To be an excellent program coordinator, you must be organized and detail-oriented, and aspire to grow in confidence in your work with both internal and external partners. To succeed in this role, you will also need to develop a high degree of flexibility and adaptability to changing priorities.
Education: Bachelor’s degree or two years of college education with 2+ years of administrative experience.
Skills:
- Data Entry: Accurate and efficient input of data in database.
- Document Management: Organizing, filing, and managing documents on Google Drive
- Calendar Management: Scheduling and handling appointments, meetings, and events.
- Google Workspace Proficiency: Familiarity with Google products including Gmail, Google Calendar, Docs, Sheets and Slides, Google Drive and Google Meet.
- Supply Management: Monitoring and maintaining office supplies.
- Office Administration Procedures: Knowledge of office protocols and processes.
- Typing: Proficiency in keyboarding (typically 50 to 80 words per minute).
