Enrollment Services has an opportunity for Program Coordinator (NE S SEIU 925 Non Supv) to join their team.

About this Opportunity

Reporting to the Director of Enrollment Services, the Program Coordinator is responsible for front-line customer service for the University of Washington Bothell’s Enrollment Student Services Desk serving current students and faculty and staff, assisting with answering questions about individual programs within the Office of the Registrar, Financial Aid, and International Student Services. The position also collects paperwork and processes it for the above areas. The position answers general questions about the campus as well as about other offices within the Division of Enrollment & Student Affairs. Responsible for printing Husky Cards for new students as well as replacement cards for students, faculty, and staff.

Key Responsibilities:

Front Desk- Direct Services- 70%

  • Provide information to students and their families daily in regard to financial aid and assist them in all phases of the aid application, eligibility, and disbursement process.

  • If financial aid has not been disbursed, discuss with student about what documentation is still needed and/or give a general idea of timeline for documents to be processed by the Financial Aid Office and aid to disburse.

  • Explain the difference between subsidized and unsubsidized loans; provide information about loan interest rates and loan deferment.

  • Answer questions about tuition rates, specific tuition charges, student fees, course fees, and on-campus housing charges.

  • Provide information to students daily (in person and on the phone) on issues related to registering for classes, dropping classes, tuition and fees, grading system, registration deadlines on the Academic Calendar, graduation requirements, residency requirements, tuition exemption, returning student form requirements, Former Quarter Drop petitions, and Tuition Forfeiture petitions.

  • Assist F1 International Students with submitting requests to the Internatonal Student Services Office.

  • Produce Husky ID cards using the tri-campus ID software for UW Bothell students and for faculty and staff when hired and eligible.

  • Direct visitors to other offices in the building.

Administrative Support- 20%

  • Report Husky Card inventory and number of errors monthly to the Seattle Husky Card office.

  • Responsible for the ordering of Husky Card products, such as card stock and ribbon, as necessary.

  • Process daily mail for Registrar, Financial Aid, and International Student Services, scanning hard copies to SharePoint.

  • Support the Registrars with registration forms, verification of enrollment letters, and graduation applications.

  • Provide assistance to the Registrars, Directors of Financial Aid, Financial Aid Counselors and International Student Services Office, as needed.

  • Project work as needed or assigned for the Division of Enrollment Management & Student Affairs

  • Serve as the Summit Hall Building Coordinator, coordinating door access for employees- both remote and key, communicating about building hours, coordinating and communicating about emergency evacuation protocols, and managing facilities work orders needed for plumbing, heating, leaks, etc.

Perform other duties as assigned - 10%

Required Qualifications

Minimum Requirements:

  • High school graduation or equivalent AND two years of experience in Higher Education student services.

  • Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager.

Additional Requirements:

  • Strong customer service background providing a high level of courtesy, and patience.

  • Must be dependable and have the ability to work well in a team setting.

  • Proven ability to work in a multi-tasking environment while maintaining a high degree of accuracy and attention to detail.

  • Ability to work independently on numerous and diverse tasks.

  • Ability to research, confirm, and clearly communicate (verbally and in writing) reliable and verifiable information regarding university procedures, policies, and regulations.

  • Excellent interpersonal, speaking and writing skills.

  • PC-based computer skills, specifically Microsoft Windows and Office software.

Compensation, Benefits and Position Details

Pay Range Minimum:

$47,256.00 annual

Pay Range Maximum:

$63,156.00 annual
