Job Description

The Program Coordinator serves within the USF Health Office of Faculty and Academic Affairs (OFAA) Division of Faculty Development and is responsible for coordinating operational and programmatic activities that support faculty across the academic lifecycle. This position works collaboratively with internal and external stakeholders to support the implementation of a portfolio of faculty development programs, in coordination with division leadership and program owners, contributing to consistent delivery, high-quality participant experience, and measurable outcomes. The role requires strong organizational, communication, and analytical skills to manage multiple concurrent programs and support institutional reporting. This position plays a critical role in advancing faculty success, promoting engagement, and supporting strategic priorities related to faculty retention, promotion, leadership development, and research advancement. The role requires flexibility to support programming that may occur outside of standard business hours. The Program Coordinator position reports to the OFAA Office Administrator.

Program Planning & Delivery

Coordinates the planning and execution of a comprehensive portfolio of faculty development programs across USF Health, including, but not limited to, research career development, leadership development, mentorship initiatives, mid-career programming, professionalism education, and targeted workshops. Ensures seamless delivery by managing schedules, logistics, and distribution of program materials, and participant engagement while supporting both one-time and longitudinal program offerings.

Stakeholder Engagement & Communication

Serves as a central point of contact for faculty, leadership, and program participants, facilitating effective communication and collaboration across colleges and units. Coordinates the development and dissemination of clear, timely communications related to program offerings, requirements, and outcomes, while ensuring strong engagement with internal and external stakeholders.

Program Operations & Administration

Coordinates day-to-day operational activities to support faculty development programs, including maintaining program calendars, coordinating logistics, and supporting faculty and guest facilitators. Ensures alignment with institutional policies and standards while establishing consistent workflows to support quality, scalability, and efficiency across program offerings.

Data Tracking, Evaluation & Reporting

Collects and tracks program data, including participation and feedback, to support OFAA leadership in assessing effectiveness and informing continuous improvement. Prepares reports and summaries for leadership, supporting data-driven decision-making and demonstrating the impact of faculty development initiatives.

Strategic Support

Provides operational and analytical support for the ongoing development and refinement of faculty development programming. Supports the identification of emerging needs, implementation of new initiatives, and alignment of program activities with institutional priorities related to faculty success, leadership development, and research advancement.

  • Bachelor’s degree -OR- equivalent combination of education and experience in a related field.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.
• Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor’s degree;
• (c) Six years of direct experience for a master’s degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications

  • Experience in academic medicine, higher education, or faculty affairs
  • Prior experience coordinating professional development or training programs
  • Experience supporting multi-stakeholder environments (faculty, leadership, external partners)
  • Proficiency in tools such as: Microsoft Office / Teams and Event or program management systems (preferred)
