Job Description

The Program Coordinator coordinates project details, reporting, and other assigned tasks to support successful project execution. This role partners closely program leadership teams to promote best practices and supports the program leaders to ensure processes and practices align with established project management standards and provide appropriate project governance and control. The Program Coordinator is expected to support multiple project portfolios and help ensure project opportunities are properly managed. This position requires up to 50% travel for client/business needs.

Job Duties:

  • Program Planning and Development
    • Develops and implements SOPs and program goals for federally funded grant programs to include setting milestones and deliverables
    • Evaluates program effectiveness and recommends improvements for compliance and efficiency
    • Ensures projects adhere to established compliance requirements and that project documentation is maintained appropriately for each engagement

  • Reporting, Financial, and Change Management
    • Develops, implements and monitors grant program budget(s)
    • Reviews and approves grant related expenditures within grant program guidelines
    • Facilitates efficient and strategic project billing in alignment with grant program requirements

  • Communication and Collaboration
    • Ensures a clear understanding of project scope and contract terms across stakeholders
    • Communicates effectively with clients, project teams, and senior leadership
  • Other duties as required

Supervisory Responsibilities:

  • Supervises project staff by supporting and/or leading project teams to successful execution of assigned work

Qualifications, Knowledge, Skills and Abilities:

Education:

  • Bachelor’s degree in Business or Project Management from an accredited college or university, required

Experience:

  • Minimum of three (3) years of professional experience in an office setting, required
  • Experience in defining Work Breakdown Structure (WBS) within a project plan, preferred
  • Demonstrated experience managing projects and applying project management practices, preferred

Certifications:

  • Project Management Professional (PMP) certification, preferred

Licensure:

  • N/A

Software:

  • Advanced Microsoft Office, Microsoft Project, and Excel skills, required

  • Superior attention to detail and ability to meet tight deadlines
  • Knowledge of file management and administrative procedures
  • Strong analytical and problem-solving skills

  • Learns quickly and adapts to new technologies
  • Possesses excellent communication (verbal and writing) skills to work with internal and external clients
  • Ability to communicate complex information clearly to diverse audiences
  • Self-starts and works well in a team environment
  • Ability to work flexible hours, including weekends, as needed
  • Ability to travel up to 50% for client/business needs
