The Program & Communications Specialist supports the growth, visibility, and execution of Project Cargo Services (PCS) business by developing and maintaining internal and external communications, supporting PCS digital platforms, coordinating key program initiatives, and driving consistency across the global PCS network.

This role serves as a central resource for PCS leadership by supporting communication strategies, marketing materials, SharePoint governance, business development enablement, project tracking, and administrative coordination. The position works closely with global PCS leadership, regional teams, Marketing, Sales, and other internal stakeholders to improve awareness, alignment, and execution of PCS priorities.

Key Responsibilities

Communications & Content Management

  • Develop, maintain, and enhance PCS communication materials across internal and external platforms.
  • Create, edit, format, and organize presentations, flyers, newsletters, shipment highlights, announcements, and awareness campaigns.
  • Ensure all PCS materials remain current, professional, and aligned with approved company branding and messaging.
  • Support the preparation of executive presentations, team communications, regional updates, and leadership materials.
  • Coordinate content updates across approved communication channels.

SharePoint & Digital Platform Administration

  • Maintain and organize PCS SharePoint, Insite, Seismic, and other approved content platforms.
  • Ensure documents, templates, organizational charts, contact information, and resource libraries remain accurate and accessible.
  • Manage content structure and page organization to improve usability and adoption.
  • Coordinate user permissions and access requests in alignment with company guidelines.
  • Continuously improve the PCS digital experience through content governance and stakeholder feedback.

Internal Awareness & Engagement

  • Support regional and global PCS communications initiatives.
  • Assist with quarterly newsletters, project highlights, success stories, and internal marketing campaigns.
  • Develop and maintain internal awareness materials that promote PCS capabilities and achievements throughout the organization.
  • Support preparation of agendas, meeting materials, presentations, and leadership communications.
  • Coordinate video content and training materials to support awareness, education, and employee engagement.

External Marketing & Commercial Enablement

  • Support the development and maintenance of customer-facing presentations, brochures, capability overviews, case studies, and marketing collateral.
  • Assist regional teams with conference preparation and event support, including booth materials, promotional items, handouts, and presentations.
  • Coordinate with corporate Marketing on approved social media content, website updates, advertisements, and promotional opportunities.
  • Maintain PCS marketing content libraries to ensure consistency and ease of access.
  • Help identify opportunities to elevate PCS visibility internally and externally.

Commercial Intelligence & Growth Support

  • Maintain library of project cargo related success stories and case studies.
  • Support identification and communication of existing customer opportunities.
  • Assist in developing industry, commodity, and account-specific marketing content.
  • Support PCS business development campaigns and internal awareness initiatives.

Program Management & Strategic Initiative Support

  • Support execution of PCS strategic initiatives and annual business plans.
  • Assist with tracking PCS CHQ and Regional TBP objectives, milestones, deliverables, and action items.
  • Coordinate with stakeholders to gather updates and identify initiatives that may be at risk.
  • Prepare status reports, dashboards, and executive summaries for PCS leadership.
  • Support meeting coordination, documentation, follow-up actions, and project communications.
  • Assist in maintaining communication calendars, action trackers, and planning documents.

Business Process & Functional Enablement

  • Support the development of templates, tools, and standardized processes that improve efficiency and consistency across PCS.
  • Help organize and maintain functional documentation, training materials, and best practices.
  • Support special projects and strategic initiatives as assigned by PCS leadership.

Qualifications

Required

  • Excellent written and verbal communication skills.
  • Strong organizational and project coordination abilities.
  • Advanced proficiency in Microsoft PowerPoint, Word, Excel, Teams, and SharePoint.
  • Technology Adoption & Innovation: Demonstrates curiosity and proficiency in using emerging technologies to enhance productivity, collaboration, and business outcomes.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and commitment to producing high-quality work.
  • Ability to work effectively with stakeholders across regions, functions, and leadership levels.
  • Self-motivated with strong follow-through and accountability.

Preferred

  • Experience in transportation, logistics, project cargo, supply chain, or related industries.
  • Experience with internal communications, marketing, content management, or program coordination.
  • Experience leveraging AI-powered productivity tools such as Microsoft Copilot, Cowork, or similar technologies to improve communications, content development, reporting, and workflow efficiency.
  • Familiarity with SharePoint administration and content governance.
  • Experience supporting global teams and cross-functional initiatives.
