Our employer partner, a national charitable organization that serves refugees and newcomers from diverse backgrounds, is currently looking to add an experienced Program and Operations Manager to their team!
Job Overview:
The Program and Operations Manager will oversee program delivery and support the organization’s day-to-day operations. Working closely with the Executive Director, the Manager will coordinate programs from planning through evaluation. They will manage funding requirements, and partner relationships. They will also support grant development and help improve the internal systems used by staff.
The Manager will support the organization's stakeholder relations by monitoring relevant policies, funding opportunities, and sector developments. They will help prepare briefing materials and coordinate meetings and engagement with government representatives, corporate partners, and funders.
This role requires someone who is highly organized and comfortable managing several priorities at once. The successful candidate will be a strong communicator and problem-solver who can work across programs, finance and operations.
Key Responsibilities:
Program Planning and Delivery
- Oversee the planning, implementation and evaluation of programs.
- Develop program workplans, timelines, budgets and performance measures.
- Work with program staff to ensure activities are delivered on time and according to funding agreements.
- Maintain clear records of program decisions, activities and results.
Grants and Funder Relations
- Identify and pursue funding opportunities aligned with the organization's priorities and programs.
- Coordinate grant applications, expressions of interest, and funding proposals from development through submission.
- Partner with program and finance teams to develop budgets, deliverables, and funding requirements.
- Maintain the funding pipeline, including opportunities, deadlines, funding amounts, and next steps.
- Track funding requirements and coordinate timely reporting, and deliverables.
- Support the Executive Director with donor outreach, relationship management, and funding discussions.
Budget and Financial Coordination
- Develop and monitor program budgets with the Executive Director, finance team and program staff.
- Monitor spending against approved budgets.
- Ensure expenses meet funding requirements and maintain required documentation.
- Coordinate financial information for funding applications, audits, reports, and funder inquiries.
- Track program payments, participant supports and vendor expenses.
- Work with finance staff to respond to funder questions or audits.
Operations and Systems
- Improve internal processes, systems, and procedures to strengthen organizational efficiency and reduce administrative burden.
- Develop templates, trackers and procedures that support consistent operations.
- Support staff use shared systems and tools effectively.
- Maintain organizational policies and support staff in following established procedures.
- Support the use and maintenance of the organization’s CRM (Keela).
- Coordinate vendors, insurance, benefits, supplies, and other operational needs.
Partnerships, Government Relations and Community Engagement
- Build and maintain relationships with community organizations, government agencies, funders, and program partners.
- Monitor government policies, announcements, consultations, and funding opportunities relevant to the organization, and support engagement with elected officials, political staff, and public servants.
- Identify public consultations and government meetings where the organization can provide input.
- Prepare briefings and partnership materials, coordinate stakeholder meetings and follow-up, and represent the organization at community, government, and sector events.
Qualifications:
- 4+ years of relevant experience in program management, nonprofit operations, fund development or community services.
- Experience managing programs from planning through delivery and evaluation, and responding to changing priorities throughout
- Experience creating and monitoring program budgets.
- Strong understanding of the nonprofit or charitable sector.
- Experience supervising staff or coordinating the work of a team.
- Ability to work independently while collaborating across different teams.
- Excellent writing, and communication skills.
- Strong attention to detail when managing budgets, deadlines and reporting requirements.
- learning and leveraging digital tools to improve operational efficiency, including databases and CRM systems. Experience with Keela or a comparable CRM platform is an asset.
- Experience working with government officials, public servants or government agencies is an asset.
- Must be based in the Greater Toronto Area and able to attend meetings and events across the region; access to a reliable vehicle is an asset.
