General Description
Responsible for providing overall program management and coordination of a human services program by developing, coordinating and providing programs, resources and services to meet client needs. Employees plan and develop strategies for improving outcomes and implement human services programs. The Program Coordinator is distinguished from the Program Coordinator Supervisor by the latter's responsibility for supervisory activities such as handling personnel issues and evaluating the work of others.
Provide overall program management and coordination of assigned recreation, community, and human services programs and facilities;
Prepare and review grant proposals and monitor program grants to determine compliance with prescribed policies, procedures, operating standards, program regulations, and contractual requirements;
Develop, coordinate, implement, and evaluate programs, services, and special events to meet community needs;
Organize and direct special projects and community initiatives;
Assess community needs and develop community resources for meeting those needs;
Review and recommend revisions to agency or community programs to meet changing client and community needs;
Coordinate agency and community resources, partnerships, and collaborative programs;
Plan, organize, and oversee the activities of professional, clerical, seasonal, contract, and volunteer personnel;
Work cooperatively with other employees, clients, agencies, community organizations, and the public;
Assess and identify community needs, available resources, and emerging trends;
Coordinate with clients, colleagues, community partners, and outside agencies to improve program and outreach service delivery;
Function effectively as a collaborative team member;
Communicate with supervisors, employees, other departments, local officials, state and federal agencies, granting agencies, contractors, vendors, community organizations, and the public to coordinate work activities, exchange information, resolve issues, and provide guidance;
Maintain a comprehensive, current knowledge of applicable laws, regulations, policies, and guidelines related to assigned program and facility operations;
Present plans and recommendations, policies, procedures, operational improvements, and program budgets for approval;
Conduct routine inspections of facilities and grounds to identify maintenance, safety, security, accessibility, and operational needs;
Coordinate maintenance, repairs, custodial services, landscaping, and capital improvement projects with appropriate departments and contractors;
Ensure facilities are prepared for programs, rentals, tournaments, meetings, and special events, including room setups, equipment, and logistical support;
Monitor facility usage and enforce established policies, procedures, rental agreements, and safety standards;
Coordinate facility rentals, reservations, contracts, permits, and event logistics while providing excellent customer service to internal and external users;
Maintain accurate facility schedules, usage reports, inventories, maintenance records, and operational documentation;
Inspect and monitor recreational equipment, furnishings, and amenities to ensure safe operating conditions and recommend replacement or repair as needed;
Assist with emergency preparedness planning and respond appropriately to facility emergencies, incidents, accidents, and weather-related events;
Monitor facility operating budgets and expenditures and assist with purchasing equipment, supplies, and services in accordance with procurement policies;
Coordinate vendor, contractor, and service provider activities related to facility operations and improvement projects;
Ensure compliance with applicable local, state, and federal regulations, including ADA accessibility requirements, OSHA safety standards, health codes, risk management policies, and building occupancy requirements;
Develop and maintain positive relationships with community organizations, user groups, athletic associations, schools, and external partners utilizing City facilities;
Assist in the planning and coordination of tournaments, community events, public meetings, and special activities hosted at City facilities;
Utilize facility management software and other technology systems to maintain reservations, work orders, reports, inventories, and program records;
Perform other duties as required.
Bachelor's degree in a Human Services field or related area supplemented with work experience in the assigned program areas.
An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the position.
