We're looking for a Professional Services & Office Coordinator (80%) to join our team in Oslo. This is a unique hybrid role where you'll combine office coordination, hospitality, and service delivery support. One moment you're welcoming participants to an assessment or training session, the next you're coordinating schedules, updating systems, supporting consultants, or making sure our office is ready for the next breakfast event.

While the role includes office coordination responsibilities, most of your time will be spent supporting our Professional Services team and helping us deliver a seamless experience to customers and participants across Norway, and potentially Sweden.


Your responsibilities will include:


Professional Services Coordination

  • Coordinate assessments, training sessions, second opinions, certifications, and other client-facing services.

  • Manage bookings, invitations, scheduling, cancellations, and participant communication.

  • Prepare and distribute reports, certificates, and service-related documentation.

  • Support consultants by ensuring all practical and administrative details are in place before client meetings and assessments.

  • Maintain and update information across systems such as HubSpot, LMS platforms, and Assessio.com

  • Manage incoming leads and inquiries from the website and ensure they are routed appropriately.

  • Assist with reporting, statistics, and follow-up activities related to service delivery.

  • Support participants with questions and practical information before, during, and after services.


Office Coordination

  • Create a welcoming and professional office environment for employees, clients, and visitors.

  • Coordinate office logistics, supplies, groceries, and day-to-day office operations.

  • Support local events such as trainings, webinars, breakfast seminars, and customer gatherings.

  • Welcome guests and ensure every interaction with Assessio reflects our high standards of hospitality

Who are you?

You are a service-minded and proactive coordinator who thrives on creating structure, delivering great experiences, and keeping things running smoothly.

You take ownership, enjoy collaborating with others, and have a keen eye for detail. You're naturally curious about systems and digital tools and enjoy finding smarter ways to work, whether through better reporting, improved data quality, or making the most of existing platforms.

To succeed in this role, you combine strong organizational and planning skills with a collaborative mindset, attention to detail, and a genuine passion for service.

We believe you have:

· Likely 2–4 years of experience in coordination, administration, office management, customer service, hospitality, or a similar role.

· Strong written and verbal communication skills in both Norwegian and English.

· Experience coordinating schedules, meetings, events, training sessions, or other client-facing activities.

· The ability to manage multiple priorities and stakeholders in a structured and efficient way

It is considered an advantage if you also have:

  • Experience working with CRM, LMS, or similar platforms, combined with a curiosity for reporting, data quality, and finding smarter ways to use digital tools.

  • Experience working with HubSpot.

  • Experience supporting marketing activities, events, or customer engagement initiatives.

About the Recruitment Process

We practice what we preach and use our own assessment tools throughout the recruitment process. As part of the process, you will complete assessments measuring personality, values, and cognitive ability, followed by interviews with the hiring manager and team members. Depending on the role, a case exercise may also be included.
