ROLE

The Professional Assistant provides high-level administrative and organizational support to the Geotechnical Division Manager, ensuring the efficient coordination of daily operations, projects, and communications within the division. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, project-driven environment. The Professional Assistant acts as a key liaison between internal teams, clients, subcontractors, and stakeholders while supporting the successful execution of geotechnical projects and divisional initiatives.

Key Responsibilities:

  • Manage calendars, schedules, meetings, for the Geotechnical Division Manager.
  • Coordinate and track divisional projects, action items, and deadlines to ensure timely completion.
  • Prepare, review, and maintain correspondence, reports, project documentation, and presentations.
  • Assist with project setup, documentation control, and administrative support throughout the project lifecycle.
  • Coordinate communication between field crews, project managers, clients, subcontractors, and internal departments.
  • Organize and maintain digital and physical filing systems, ensuring records are accurate and easily accessible.
  • Assist in preparing proposals, contracts, project reports, and client deliverables.
  • Monitor and assist with divisional reporting, project tracking, and data management.
  • Arrange meetings, prepare agendas, record meeting minutes, and follow up on action items.
  • Support onboarding activities, training coordination, and scheduling for division personnel.
  • General filing, photocopying, scanning, ordering supplies, and maintaining office organization.
  • Additional administrative duties, special projects, and support activities as required.

Professional Experience / Qualifications:

  • Strong organizational, planning, and time-management skills.
  • Exceptional attention to detail and ability to maintain confidentiality.
  • Excellent verbal and written communication skills.
  • Proven ability to prioritize multiple tasks and adapt to changing priorities.
  • Self-motivated with the ability to work independently and collaboratively within a team environment.
  • Strong computer skills, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams).
  • Experience coordinating projects, schedules, or administrative functions in a project-based environment is considered a strong asset.
  • Experience in engineering, construction, geotechnical, drilling, or other industrial sectors is considered an asset.
  • Professional demeanor with strong interpersonal and stakeholder relationship-building skills.
  • Experience with document management systems and business software platforms is considered an asset.

Education:

  • Administrative Assistant Certificate, Business Administration Diploma, or equivalent education and experience preferred.
  • Post-secondary education in business administration, project coordination, or a related field is considered an asset.

Compensation:

$24.00 - $34.00 per hour based on experience.
