The Production Planning & Procurement Manager is responsible for leading end-to-end planning and purchasing activities that ensure Rainbow Greenhouses consistently delivers the right products, in the right quantities, at the right time, and at the right cost. This role is a key link between Sales, Operations, Logistics, and Vendor/Supplier Management, using ERP to systematically ensure production schedules align with customer demand and procurement strategies support uninterrupted greenhouse operations. The successful candidate will bring a balance of a data driven mindset , strong supplier negotiation capability, and real-world operational thinking to own the Procure-to-Pay (PSP) cycle. This is a leadership role in a fast-paced season environment which requires daily decision-making to achieve customer On-Time In-Full delivery, Inventory Accuracy, and improve our overall Quality , production efficiency, and profitability. Alignment with Rainbow’s GRIT core values is foundational for success. ResponsibilitiesProduction Planning & Demand Alignment

  • Develop and convert sales forecasts into realistic grow / production plans and purchase orders.
  • Coordinate with Sales, Concept Development, Operations & Horticulture on · upcoming events. Monitor customer forecast accuracy and adjust plans accordingly in collaboration with Sales, Horticulture & Operations.
  • Achieve production planning key performance targets such as: On-time and in-full

Procurement & Supplier Management

  • Lead purchasing for critical materials including: Live goods, hard goods,
  • Build and manage vendor relationships to ensure reliability, pricing competitiveness, and consistent quality.
  • Negotiate contracts and pricing agreements, and identify alternate suppliers and contingency sources to reduce risk of disruption.
  • Work collaboratively with Quality and Growing teams to ensure purchased materials meet production standards.

Inventory Planning & Control

  • Maintain appropriate stock levels of consumables and packaging to avoid downtime, while minimizing excess and obsolescence.
  • Implement structured reorder point and safety stock strategies based on seasonality and consumption rates.
  • Lead regular inventory cycle counts and inventory accuracy improvement initiatives on select items.
  • Monitor and manage aged inventory to reduce write-offs.

Cross-Functional Coordination (Operations + Growing + Logistics)

  • Act as the planning bridge between: Sales/Production/Growing teams and Supply Chain and logistics teams
  • Ensure production schedules align with sales forecasts and shipping windows.
  • Participate in production meetings to ensure short-term adjustments are made quickly when things change.
  • Coordinate with logistics teams on any pickup or delivery arrangements.

Data Analysis, Forecasting & Reporting

  • Analyze production and purchasing data to identify trends, risks, and cost-saving opportunities.
  • Maintain forecasting tools and reporting dashboards (Excel, ERP system, Power BI if applicable).
  • Report regularly on: Material shortages and risks, Supplier performance, Inventory health, Production plan adherence and Procurement spend and savings initiatives
  • Improve planning accuracy through root cause analysis and continuous refinement.

Continuous Improvement & Process Leadership

  • Drive improvements in production planning methods and procurement processes.
  • Standardize procurement workflows and improve communication between departments.
  • Introduce best practices such as: Supplier scorecards, Strategic sourcing plans and Forecast review cycles
  • Identify automation opportunities and support ERP process improvements.

Leadership & Team Development

  • Provide leadership to planning and procurement team members.
  • Train and mentor staff in best practices for purchasing, planning, and inventory control.
  • Promote accountability while maintaining a positive, collaborative culture.
  • Support a workplace environment that values problem-solving, communication, and shared wins.

Qualifications & Experience

5+ years of experience in production planning, procurement, or supply chain, ideally in: Greenhouse operations Agriculture / horticulture, Industry with seasonal demand cycles or Manufacturing with short shelf-life inventory

  • Strong understanding of planning principles (ERP, demand planning, capacity planning).
  • Strong negotiation skills and supplier relationship management experience.
  • Experience working with large retail customers or high-volume distribution environments.
  • Advanced Excel skills (pivot tables, forecasting models, power query preferred).
  • Ability to manage complexity and shifting priorities in a seasonal environment.
