Job Description

Sunbelt Supply is a global provider of flow control solutions. We maintain one of the largest and most diversified selections of valves, actuators, actuation accessories and specialty PFF in North America, comprised of more than 50 major manufacturers. We provide in-house valve automation services, including CAD design and drawings, machine, fabrication, assembly shops featuring CNC machinery, and automation repair work.

Job Information

Provides secretarial, clerical, administrative, purchasing, and expediting support for automation department. Manages administrative activities for the department, functional group, and/or area, including inquiry and data entry oversight, report generation, office services, warehouse consumable purchasing, and Pull & Ship order expediting. Acts as liaison to the automation department for sales, production, warehouse, expeditors, and shop teams.

Key Responsibilities

  • Manages vendor selection, pricing, and delivery of branch services such as office supplies
  • Maintains and orders department office supplies
  • Initiates routine and some non-routine correspondence
  • Collaborates and partners with peers within business and other functions
  • Schedules meetings, team meetings, and internal events, and maintains an up-to-date calendar
  • Reviews new orders and vendor purchase orders for entry errors
  • Prepares order folders for all automation orders that will go through assembly/machine shop
  • Maintains the production spreadsheet, sends memos, prepares general correspondence and reports, and updates the machine shop log
  • Manages multiple types of orders in an effective and organized manner.
  • Purchases consumables for the warehouse, including coordinating needs, obtaining approvals as required, placing orders, and following up with vendors to ensure timely delivery
  • Serves as expeditor for Pull & Ship orders by monitoring order status, coordinating with warehouse and shipping teams, communicating updates, and helping resolve delays to meet customer and operational requirements
  • Understands warehouse receiving and shipping procedures.
  • Manages visitors in the Automation lobby.
  • Files department and order-related documents

Qualifications:

  • HS Diploma or GED required
  • Knowledge of Microsoft Office (Excel is a must)
  • 3-5 years related clerical/administrative experience
  • Customer service skills
  • Oral and written communication skills
  • Telephone etiquette
  • Excellent follow-up and organizational skills
  • The ability to "self-start" and work independently
  • Computer literacy

  • Occasionally loud noise (examples: shop tool noises, electric motors, moving mechanical equipment)

Work Environment

This role operates in a professional office environment and may require regular interaction with warehouse and operational areas to support purchasing, order expediting, and related administrative activities. Standard office equipment such as computers, phones, and printers are used. Occasional visits to warehouses or operational sites may be required.
