Position Details:

  • Title: Production Administrative Support Associate
  • Schedule: 8:00 am - 4:30 pm M-F
  • Location: Gibbstown, NJ (08027)
  • Ideal Candidate: The ideal candidate will possess strong administrative and computer skills, demonstrate a high level of attention to detail, and have prior experience working in a manufacturing environment.
  • Salary/Pay Range (based on experience and qualifications): $23-$27/hr., +/-, commensurate on experience.

The Production Administrative Support Associate provides general administrative support to various manufacturing departments, including label creation and printing and data entry within the ERP system. This role requires a collaborative, organized self-starter that excels in a fast-paced manufacturing environment.

Essential Job Functions:

  • Perform a variety of administrative efforts to support various manufacturing departments.
    • Printing, copying, filing, scanning, and faxing as required.
  • Management of controlled documents for production.
    • Labels, (creation, printing, generation), BOMs & pick tickets, batch cards, cleaning forms, etc.
  • Review batch records and forms for equipment/cleaning/time allocation. 
  • Data entry – accurately enters information into ERP system, TraceLink, SmartSheets, and others.
  • Perform duties and processes related to SubContracted Work Orders in ERP system.
  • Utilize Microsoft Office Programs, such as PowerBI and Microsoft Dynamics D365, for product paperwork, product requests, generating reports, and researching information.  
  • Respond to internal requests and questions promptly and courteously 
  • Follow-up and follow-through with specific requests (i.e., product requests, researching information, etc.) 
  • Work closely with and coordinate with various departments per production needs.
  • Understand and comply with SOPs, QIs, and QPs.
  • Perform a variety of administrative efforts, including conference room scheduling or support of events.
  • Perform additional duties/tasks as needed or requested by management.

Qualifications:

  • Minimum 6 months’ experience in an office support role in a production/manufacturing environment.
  • Detail-oriented and ability to multi-task.
  • Experience with ERP, MRP, or Inventory; Database Management Systems preferred. 
  • Strong organizational skills. 
  • Good verbal and written communication skills. 
  • Computer proficiency including MS Office and receptive to learning new software systems.  
  • Excellent interpersonal skills - ability to interface and communicate/collaborate at all levels internally and externally.
  • Works independently without need for constant monitoring. 
  • Ability to work collaboratively on a team. 

Desired Skills:

  • Technical Writing skills in Batch Cards, SOPs, and other QI/QPs.
  • Experience working with EQMS.
  • Training Coordination and Record Management.

Education/Certifications:

  • Minimum High School Diploma or equivalent.

  • Understand and comply with all written safety, health, and environmental procedures.
  • Attend all required scheduled Health, Safety and Environmental training sessions.
  • Participate in required Health, Safety and Environmental initiatives and programs.
  • Perform required administrative functions related to Health, Safety and Environmental functions such as completing forms, checklists, and log sheets.

Physical Demands and Work Environment:

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Physical Demands:Employee is required to walk; stand; sit; use hands and fingers to manipulate objects, tools, or controls; reach with hands and arms to operate a computer and other office equipment, and occasionally lift/move up to 25 lbs. Minimal need to balance, stoop, bend, kneel or climb.
  • Work Environment:This position is located in an office setting, within a manufacturing facility. Noise intensity level: quiet to low. Employees may occasionally need to enter manufacturing or lab areas, including cleanroom environments, which may include exposure to moderate noise, moving equipment, and hazardous contaminants. When entering these areas, employees must adhere to all applicable safety protocols, including Personal Protective Equipment (PPE) and/or gowning requirements. Occasional travel may be required for audits, inspections, site visits, customer meetings or events, and industry conferences.
