Key Responsibilities:
Administrative & Office Support
- Answer and direct phone calls, take messages, and respond to inquiries.
- Maintain and organize records related to project schedules, material orders, and business transactions.
- Process and file incoming and outgoing correspondence, including purchase orders, invoices, and contracts.
- Operate office equipment, including computers, printers, and construction-related software (if applicable).
- Update and maintain construction project databases, logs, and documentation.
Production & Operations Coordination
- Assist in tracking material orders, inventory levels, and supply chain logistics to ensure smooth production.
- Review production schedules, job orders, and staffing requirements to align with project timelines.
- Monitor work progress, verifying that documentation and records comply with industry regulations and standards.
- Coordinate delivery of construction materials and supplies to job sites, working closely with suppliers and vendors.
- Record project and production data, including work completion rates, material usage, and quality control measures.
- Assist in scheduling subcontractors and crews to maintain workflow efficiency.
Communication & Collaboration
- Serve as a point of contact between field teams, project managers, suppliers, and administrative staff.
- Help coordinate construction schedules, change orders, and labor/material adjustments.
- Address project-related issues, collaborating with management to resolve any delays or material shortages.
- Ensure compliance with company policies, safety regulations, and project specifications.
Logistics & Documentation
- Maintain records for material purchases, equipment rentals, and vendor agreements.
- Process job site documentation, work orders, and regulatory compliance paperwork.
- Support procurement efforts by tracking purchase orders, invoices, and payment schedules.
- Assist in maintaining safety documentation and compliance records for job sites.
Qualifications
Qualifications
- Education: High School Diploma required (Some college or industry-related certification preferred).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe/PDF editing, and experience with construction management software (e.g., Procore, Sage 300, or Viewpoint) is a plus.
- Industry Knowledge: Familiarity with construction materials, job site operations, inventory management, and production workflows.
- Administrative & Customer Service: Ability to support field teams, vendors, and customers in a fast-paced environment.
Working Conditions
- Fast-paced, deadline-driven construction office environment.
- Some travel to job sites may be required.
- Occasional early morning or late evening work based on project schedules.
Physical Requirements
- Standard office work with prolonged sitting and computer use.
- Occasional lifting of construction documents, materials, or office supplies.
