About the Role
We are seeking a detail-oriented and proactive Procurement Specialist to manage day-to-day tactical buying activities. This role is responsible for releasing purchase orders, conducting spend analysis, resolving supplier queries, and ensuring the timely and cost-effective procurement of goods and services. The ideal candidate has hands-on ERP experience, strong analytical skills, and excellent communication abilities to work effectively with internal stakeholders and external suppliers.
KEY ACCOUNTABILITIES -
• Handle tactical buying activity for low-value/spot purchase items, ensuring quick turnaround while maintaining compliance with procurement policy.
• Release purchase orders (POs) accurately and in a timely manner based on approved requisitions.
• Monitor PO status from creation through delivery, ensuring timely fulfillment and updating records as needed.
• Conduct spend analysis to identify trends, cost-saving opportunities, and areas of non-compliance.
• Serve as the primary point of contact for supplier queries related to orders, pricing, delivery schedules, and invoicing discrepancies.
• Maintain accurate procurement records and ensure data integrity within the ERP system.
• Coordinate with internal stakeholders (requisitioners, finance, warehouse/receiving) to resolve order or delivery issues.
• Maintain catalogs for items sourced through p-card program.
• Administer p-card purchases for compliance with procurement policy.
• Track key procurement metrics such as on-time delivery, cost savings, and quality.
• Support supplier onboarding, maintenance of vendor master data, and basic vendor performance tracking.
• Assist with invoice matching and resolution of discrepancies between POs, receipts, and invoices.
• Prepare regular reports and summaries using Excel, Word, and PowerPoint for management review.
• Ensure compliance with company procurement policies, procedures, and approval workflows.
• Identify process improvement opportunities within tactical buying and order management workflows.
KNOWLEDGE, SKILLS & ATTRIBUTES
Essential:
• 3–5 years of experience in procurement, purchasing, or supply chain operations, with a focus on tactical/operational buying.
• Hands-on experience with NetSuite or other ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) for purchase order management and reporting.
• Proficiency in Microsoft Excel (pivot tables, formulas, data analysis), Word, and PowerPoint.
• Strong written and oral communication skills, with the ability to interact professionally with suppliers and internal stakeholders.
• Solid understanding of procurement processes, including requisition-to-PO and PO-to-invoice workflows.
• Strong attention to detail and accuracy in data entry and order processing.
• Good analytical and problem-solving skills, particularly around spend and cost analysis.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Bachelor's degree in Business, Supply Chain Management, Finance, or a related field (or equivalent practical experience).
Desirable:
• Experience with NetSuite specifically is a plus.
• Familiarity with procurement KPIs and spend analytics tools/dashboards.
• Experience working in a multi-supplier or multi-site procurement environment.
• Knowledge of basic contract terms and purchasing compliance requirements.
