About the Role & TeamIDC is implementing Zip as a global Intake-to-Pay solution — moving from a fragmented, non-PO environment to a controlled, policy-driven procurement model across approximately $140M in annual spend. The Procurement Operations Associate is a day-to-day operational backbone of this transformation: ensuring policy compliance, accurate PO execution, and supporting full adoption of Zip as the organization’s procurement platform. This is a high-impact role for someone who thrives on helping people understand and navigate new systems, brings a teacher’s mindset to stakeholder support, and takes pride in running a clean, compliant P2P operation.

What You’ll Do

  • Serve as the primary point of contact for employee inquiries regarding Zip, populate requisitions and POs correctly, and navigate approval workflows.
  • Coordinate contract signature workflows between vendors, legal, and business stakeholders.
  • Manage PO amendments and change orders — increasing PO values or closing POs based on business conversations.
  • Review and validate purchase requests to ensure compliance with approval thresholds, competitive bidding requirements, and procurement policy.
  • Track open PO balances and provide ongoing reporting on accruals and open purchase orders; manage the renewal tracking module and proactively flag upcoming contract expirations.
  • Maintain preferred vendor lists, catalogs, and procurement categories in coordination with the business.
  • Monitor spend trends, flag compliance gaps or anomalies, and audit system activity to ensure Zip is being used appropriately across the organization.

What You Bring

  • 3–5 years of relevant experience in procurement operations, accounts payable, finance operations, or a related field; equivalent hands-on experience will be considered in lieu of formal credentials. S4-level candidates should demonstrate the ability to independently own process areas, drive continuous improvement, and support broader regional or global operations.
  • Demonstrated experience working with procure-to-pay, ERP, or procurement platforms (e.g., Coupa, Ariba, SAP, Zip, or similar); ability to quickly learn and master new systems.
  • Experience supporting system rollouts, training end-users, or serving as a go-to resource for a new tool or process — a “heart of a teacher” approach to stakeholder support is strongly valued.
  • Background in purchase order management, vendor coordination, or invoice processing is a plus.

Skills & Competencies

  • Strong working knowledge of P2P processes and the ability to explain procurement concepts clearly and patiently to non-finance colleagues on a daily basis.
  • Excellent customer service orientation — responsive, clear, and proactive in supporting internal stakeholders.
  • High attention to detail with strong organizational skills; ability to manage multiple open items simultaneously without dropping the ball.
  • Proficiency in Excel or Google Sheets for tracking, reporting, and data analysis.
  • Effective written and verbal communication skills in English.
  • Comfortable working independently and managing day-to-day tasks with minimal supervision while escalating appropriately.
