The Procurement Intern provides administrative and operational support to the Procurement team. Reporting to the Procurement Manager, this role assists with day-to-day sourcing, purchasing, and negotiation-related tasks, maintains organized procurement documentation and filing, and supports basic data analysis and reporting to help the department run efficiently. This role is ideal for a student or fresh graduate looking to gain hands-on exposure to procurement operations.
KEY RESPONSIBILITIES
• Assist in identifying and shortlisting potential suppliers based on department requirements.
• Help gather supplier quotations, catalogs, and product information for comparison.
• Support the team in researching market prices and availability of goods and services.
• Maintain and update the supplier database and contact information.
• Assist in preparing purchase requisitions and purchase orders for review and approval.
• Support the team during supplier negotiations by preparing comparison sheets and briefing materials.
• Follow up with suppliers on quotations, order confirmations, and delivery timelines.
• Help track purchase order status and flag delays or discrepancies to the Procurement Manager.
• Organize and maintain physical and digital procurement files, including contracts, quotations, and purchase orders.
• Ensure procurement documents are properly labeled, filed, and easily retrievable.
• Assist in preparing and updating procurement checklists, trackers, and standard templates.
• Support document routing for approvals and signatures across departments.
• Assist in compiling procurement data such as spend, pricing, and supplier performance for reporting.
• Help prepare basic spreadsheets, summaries, and trackers using Excel or similar tools.
• Support the team in identifying simple trends or discrepancies in procurement data.
• Provide day-to-day administrative support to the Procurement Manager and team members.
• Schedule meetings, prepare materials, and take minutes for procurement-related discussions.
• Perform other ad hoc administrative tasks as assigned by the Procurement Manager.
QUALIFICATION & REQUIREMENTS
Education:
Experience:
• No prior professional experience required; exposure to office or administrative work is an advantage.
• Basic understanding of procurement, purchasing, or supply chain concepts is a plus.
• Familiarity with Microsoft Office applications, particularly Excel, Word, and Outlook.
Availability to commit to the required internship duration (e.g., 3–6 months) is required.
