Role Purpose
The Procurement Officer is responsible for the procurement activities of P&O Cargo Transport
Solutions Division for the allocated fleet of MCVs. The employee must adhere and also ensure that all
stakeholders and suppliers involved in the process adheres 100% to the company's purchasing
procedures, engage in cost-effective purchasing of complete goods and services, and review
procurement functions, systems, and procedures to enable the delivery of improved outcomes, savings,
and value for money
 
Designation Procurement Officer
Base Location: Chennai
 
Key Role Responsibilities
Responsible for Procurement activities for assigned vessels and division within the group organizations.
Handle fleet requisitions, RFQ, process PO’s, monitor delivery, and update relevant stakeholders.
Identifies and evaluate suppliers. Monitors performance of suppliers to ensure continued cost-effective
quality service / material provision.
Ensure requisitions from supervisors and managers for goods or services are received, processed, and
controlled in a timely manner.
Analyze quotations received for materials & services to ensure compliance with actual requirements
and prepare quote comparison with recommendation for approvals.
Ensure timely follow-up and delivery of the items and related logistics.
Conducts overseas purchasing with special attention including timely follow-up of the goods ordered,
all related logistics movements, customs clearance and delivery to the stores or vessels as applicable.
Assist line manager to identify regular procured goods/ & services for frame agreements, introduce
suppliers and implement frame agreement.
Develop new suppliers to save cost and improve quality.
Develop and maintain supplier prequalification lists and prepare new supplier accounts once approved
by all stakeholders.
Analyse vendor performance data regularly, communicate and advise POML management best course
of action in order to maintain strategy and vision for sourcing strategiesAssist line manager in any other procurement-related tasks as needed.
Assist finance to resolve any discrepancy related to supplier invoice processing.
Review and action on Open Requisitions and PO reports to comply with the departmental KPIs.
Keep relevant stake holders informed on the status of orders
Keep vessel appraised on the supply being planned at each port call.
Record & maintain all documentations with regard to the Requisition and Supplies as per requirement.
Monitor the open PO on a monthly basis and follow up with the suppliers for timely invoice processing.
 
External Supplier Contracts /Arrangements
Establish and maintain strong relationships with key suppliers to ensure on time delivery of quality
goods and services
Assist the line Manager to identify the potential risk and develop possible mitigation plans.
Preparation of new supplier accounts once approved by all stake holders.
Vendor evaluations and follow up are done as per the procurement procedures or contracts
 
Logistics
Monitor order expedition and provide support to Line Manager as required.
Ensure that the optimal legal approach is used to facilitate/expedite import/export deliveries.
Develop understanding and constantly review import/export requirements of countries of operations.
Review performance of Clearing and Forwarding Agents.
To provide support / backup when required upon line Manager’s approval.

Education & Qualifications
Diploma or bachelor’s degree in engineering, Marine or Maritime Studies, preferably with an
Engineering Mechanical discipline.
A minimum of 3-5 years of similar experience in Procurement with mid-to-large size organization
(preferable with organization in shipping industry/vessel operation).
Knowledge of clearing and forwarding, a thorough knowledge of the procedures and policy, good
judgment, negotiation & analytical skills.
Tertiary qualifications in procurement or a related discipline is preferable.
Proficiency in Microsoft Office and purchasing applications. Experience with NS5 and Oracle Fusion
would be an advantage.
Experience working in a fast-paced environment meeting deadline.
