Procurement Coordinator

The Role

The Procurement Coordinator will play a key role in ensuring the smooth and timely flow of products from international suppliers. Working closely with the Sales, Operations, Logistics, and Procurement teams, the successful candidate will be responsible for managing purchase orders, monitoring production and shipments, handling import documentation, and supporting the development and evaluation of the supplier network.

Key Responsibilities

  • Create, process, and monitor Purchase Orders (POs) with international suppliers.
  • Maintain daily communication with suppliers, primarily based in Asia (including China and India), regarding production schedules, order readiness, loading status, and shipment progress.
  • Request, evaluate, and compare quotations, lead times, minimum order quantities (MOQs), and samples for existing and new product developments.
  • Collect, review, organize, and maintain import and shipping documentation, including invoices, packing lists, Bills of Lading (B/L), Air Waybills (AWB), certificates, declarations, and related documents.
  • Prepare and maintain complete import files and records, ensuring compliance and audit readiness.
  • Research, evaluate, and develop relationships with new suppliers across Europe and Asia based on quality, pricing, consistency, and production capabilities.
  • Coordinate internally with relevant departments regarding product specifications, priorities, timelines, and procurement requirements.
  • Monitor supplier performance and contribute to the continuous improvement of procurement processes.

Requirements

  • Minimum 1–2 years of experience in Procurement, Purchasing, Imports, Supply Chain, or a related role, including hands-on coordination with suppliers from third countries (e.g., China,) and import-related processes.
  • Excellent written communication skills in English.
  • Experience communicating and coordinating with international suppliers will be considered a strong asset.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and work effectively under pressure.
  • Strong analytical and numerical skills.
  • Excellent communication and coordination skills.
  • Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
  • Proficiency in Microsoft Office applications, particularly Excel.
