Schedule: 9 am to 4 pm PH time

About the Role
Boomering is partnering with a leading managed services and IT procurement business to hire a highly organised and detail-oriented Procurement Administrator to support their growing IT Procurement Team. This role plays a critical part in ensuring procurement operations run smoothly across Hong Kong, mainland China, and Singapore by providing accurate administrative and operational support.
As a Procurement Administrator, you will serve as the administrative backbone of the procurement function, ensuring orders, supplier coordination, documentation, and procurement records are managed efficiently and accurately. Working closely with the Hong Kong procurement team, project managers, finance teams, suppliers, and logistics providers, you will help maintain seamless procurement operations while supporting both project-based and business-as-usual procurement activities.

You are comfortable working independently while collaborating closely with geographically distributed teams. You communicate professionally with both internal stakeholders and external suppliers and are confident handling procurement documentation, supplier communications, and administrative processes.
You enjoy solving operational challenges, following through on open items, and maintaining clean, accurate records that support business operations and reporting.
Your Responsibilities as a Procurement Administrator would be:
Procurement Administration
- Process incoming procurement requests from internal stakeholders and clients while ensuring all required information is complete and accurate.
- Raise purchase orders in accordance with approved quotations and company purchasing controls.
- Track procurement orders from initiation through to delivery, proactively following up with suppliers regarding confirmations, lead times, shipping updates, and delivery schedules.
- Coordinate with warehousing, logistics, and onsite teams to ensure the successful receipt and delivery of goods.
- Manage returns, replacements, supplier credits, and RMAs when required.
Record Keeping & Data Management
- Maintain accurate and up-to-date procurement records across systems, trackers, and shared workspaces.
- Ensure procurement pipelines, supplier records, and order logs remain current and organised.
- File and maintain all supporting procurement documentation, including quotations, purchase orders, invoices, delivery notes, serial numbers, and licence keys.
- Perform routine data hygiene and identify inconsistencies or missing information.
- Support procurement reporting by maintaining clean and complete source data.
Quotation Preparation
- Prepare client-facing quotations using approved templates and procurement inputs.
- Obtain pricing, stock availability, and lead time information from approved suppliers and distributors.
- Apply pricing methodologies, margin rules, and currency conventions consistently.
- Maintain registers of recurring products, bundles, and previously quoted items to improve quoting efficiency.
- Manage quotation version control and maintain clear audit trails for all updates.
Supplier & Vendor Coordination
- Act as a primary administrative contact for suppliers on day-to-day procurement matters.
- Maintain supplier contact information, pricing files, payment terms, and account references.
- Assist with onboarding new suppliers and collecting compliance and account-opening documentation.
Process Compliance & Operational Support
- Follow procurement policies, approval thresholds, and segregation-of-duty procedures.
- Support internal and external audits by providing accurate procurement documentation.
- Identify opportunities to improve procurement workflows and administrative efficiency.
- Work collaboratively with procurement, finance, project delivery, and managed services teams to support operational goals.
Experience & Background
- At least 1 to 2 years of experience as a Procurement Administrator or in the same field
- Previous experience in procurement, purchasing, sales support, order processing, or administrative support roles.
- Experience within IT, technology distribution, managed services, or
- B2B environments is highly preferred.
- Familiarity with purchase order processing, supplier coordination, quotation management, and procurement administration.
- Experience working with remote or geographically distributed teams is advantageous.

- Strong organisational and multitasking skills with the ability to manage multiple priorities simultaneously.
- Confident using spreadsheets, procurement systems, supplier portals, and administrative tools.
- Excellent written and verbal English communication skills.

- Reliable, discreet, and trustworthy when handling sensitive commercial information.
- Ability to work independently with minimal supervision once trained.
Working Style - Comfortable collaborating with an international team while working remotely from the Philippines.
- Able to align working hours with the Hong Kong office to ensure effective collaboration.
