The Process Support Coordinator supports and coordinates business processes related to Project Closures, Certificate of Insurance (COI) requests and customer maintenance activities. This role ensures requests are processed accurately, efficiently, and in compliance with internal standards, contractual requirements, and regulatory guidelines. The coordinator serves as a key liaison between internal teams and external partners to maintain high quality service and data integrity.
Key Responsibilities
Process project closure requests following completion of work
Validate project financials prior to closure, ensuring costs, billings, and revenue are accurate and complete
Verify that warranty documentation, including required warranty letters, has been prepared, sent, and properly recorded
Identify and document process risks and control gaps
Analyze trends, recurring issues, and root causes to identify improvement opportunities
Receive, review, and coordinate requests for Certificates of Insurance from customers and internal stakeholders
Validate insurance requirements against contracts, customer agreements, and established standards
Coordinate with insurance providers, brokers, or risk management teams to obtain accurate and timely COIs
Ensure COIs are issued, distributed, and stored in accordance with defined procedures
Track COI expirations, renewals, and exceptions, escalating issues as needed
Maintain compliance with customer-specific insurance requirements and audit readiness
Support customer maintenance requests, including customer setup, updates, and changes to master data
Validate incoming requests for completeness, accuracy, and required approvals
Other tasks related to central processing, as assigned
Required Qualifications
High School Diploma or GED
2+ years of work experience in supporting organizational processes, contracts/bookings, or other business operations
Preferred Qualifications
Strong attention to detail and organizational skills
Strong verbal and written communication skills
Ability to manage multiple competing priorities successfully
Experience handling Certificates of Insurance and/or customer data maintenance requests
Intermediate experience with Microsoft Office
Experience salesforce, Microsoft Dynamics (MSD), CORA, SAP and Ariba experience
Working knowledge of contracts
HVAC or Construction industry experience
Able to build strong relationships across functions
