Job Description

Responsible for:

The role will support in capturing, reporting and analysing data required to support the project/programme management by the corporate Project Delivery Management, and the performance analysis, and the process improvement initiatives in the Regional Delivery Center (RDC). He/She is responsible for extracting data from various sources and transforming them into text and graphical reports/dashboards as needed in the different stakeholder levels.

Extent of Authority:

  • Access to source data for reports and dashboard generation/update
  • Review, analyse and report organizational process and performance
  • Recommend automated solutions and/or work method changes for improving resource efficiency, utilization, quality and cost-effectiveness
  • Recommend project management software and similar technology governance related policies, standards, processes and procedures
  • Implement approved requests on project management software and similar systems (e.g., access definitions, creation of project, task or resource elements, etc.)
  • Verify proper usage of project management software and systems being administered, reporting, and correcting breaches
  • Raise HEAT calls

Main Activities:

  • Generation, creation and analysis of performance reports using MS Excel, MS Access and other company standard tools
  • Generation, creation and analysis of project management software-based data
  • Generation of scheduled management information reports and dashboards
  • Creation and generation of ad hoc reports and analysis
  • Handling of new reporting areas and data sources
  • Distribution of reports and related communication materials to key stakeholders and branches
  • Building and/or improvement of customized reporting sets in line with corporate strategy
  • Serve as the primary support and subject matter contact for the project management software, providing day to day user assistance
  • Coordinating system access and configuration in the project management software
  • Liaise with the vendor and internal stakeholders to resolve issues and implement enhancements.
  • Conduct training for process improvement rollouts
  • Measurement and assessment of ‘As Is’ processes, and the design and recommendation of ‘To Be’ processes with improvement solutions through automation or other work method changes
  • Conduct interviews and workshops to elicit and define requirements for the development of business process improvement solutions
  • Documentation of processes, procedures, guidelines and other deliverables as required in process improvement activities/projects
  • Design of forms and document templates to be used in business process standardization and/or improvement
  • Development of effective and efficient work performance measurement and process improvement solutions using company standard tools such as MS Excel, MS SharePoint, MS Access, IBM BPM, Confluence, etc.
  • Communication with project team members and management for tracking and reporting progress of process improvement-related initiatives
  • Research and exploration of new tools’ capabilities and participate in their roll-out.
  • Use or wear personal protective equipment (PPE) e.g. vests, ear plugs, safety shoes, safety goggles etc. as per PPE requirements in your designated work area.

Key Skills:

  • In-depth knowledge on business/systems data extraction and transformation for performance analysis and reporting
  • Use of project management tools
  • Knowledge on process and/or systems improvement conceptualization and implementation
  • MS Office skills (MS Excel, Access, Word and PowerPoint)
  • Understanding of statistical concepts
  • Knowledge in CMMI, ITIL, Lean Six Sigma, Balanced Scorecard or ISO 20000 a plus
  • Experience in using MS SharePoint, Project management software, Heat, IBM BPM a plus

Qualifications and Typical Experience:

  • Relevant qualifications in IT or other related discipline
  • Expert knowledge in MS Office 2007-2019
  • Knowledge in MS Project or other project management tools
  • Experience in organizational performance analysis and reports generation
  • Experience in process review, and improvement design and implementation
  • 5 Years experience in similar role

Special Circumstances:

  • Use or wear personal protective equipment (PPE) e.g. vests, ear plugs, safety shoes, safety goggles etc. as per PPE requirements in your designated work area.
  • Employment is dependent on a national police criminal history check that is acceptable to FUJIFILM DMS.
  • Additional security clearances may be required as requested by FUJIFILM DMS or its clients.
  • Required to work reasonable additional hours as may be necessary to meet the requirements of the position.
  • Maintain FUJIFILM DMS and client confidentiality.
  • Some travel may be required to various FUJIFILM DMS sites, interstate or overseas to meet requirements of the role.
  • May be needed to be on call from time to time to meet requirements of the role.
  • Required to participate in workplace fit-for-work initiatives (including stretching programs).
